Job description

Job Summary:

Performs clerical and reception functions for the assigned area. Assists nurses in daily recording and charting of medical or administrative information in accordance with federal, state, and local guidelines, as well as Marwood Nursing & Rehab policies and procedures.

Job Duties and Responsibilities:
  1. Completes all secretarial duties for assigned areas as directed by nurse, physician, or supervisor, including chart assembly, answering phones, directing visitors, copying, faxing, sorting, filing, and mailing.
  2. Responsible for coordinating and filing all open charts and forms across all neighborhoods and nursing locations. Performs monthly audits and updates charts as needed.
  3. Contacts physicians to ensure timely visits according to facility policies. Reports noncompliance to the Medical Records Supervisor. Pulls charts for physician rounding and maintains resident rosters by physician.
  4. Sends daily physician orders for signatures and ensures orders are in compliance. Reviews lab and chest x-ray orders; faxes telephone orders to pharmacy as needed.
  5. Assists with resident admission, transfers, and discharges.
  6. Performs resident care in accordance with Certified Nurse Aide standards, including meal service, bathing, dressing, and personal care. Responds to call lights and provides assistance. May perform CNA tasks intermittently at the request of Nursing Leadership or Medical Records Supervisor.
  7. Copies and transcribes physician orders, stamps all orders and documents according to policy.
  8. Audits open charts for completeness and notifies supervisors of deficiencies.
  9. Coordinates ancillary services and resident transportation with residents, families, and staff.
  10. Processes guardianship papers and Medical Advance Directives.
  11. Maintains lab schedules and distributes incident forms appropriately.
  12. Protects residents' personal health information per HIPAA guidelines.
  13. Adheres to safety, infection control policies, and participates in mandatory training and certification maintenance.
  14. Performs other duties as assigned and complies with all organizational policies and regulations.
Knowledge, Skills, and Abilities:
  • Education: High school diploma or GED; current Certified Nurse Aide Certificate.
  • Experience: Previous geriatric experience preferred.
  • Skills: Proficient in English communication, computer literacy, office/clerical skills, and knowledge of medical terminology preferred.
Physical and Cognitive Requirements:

Ability to lift objects up to 35 pounds frequently, push/pull over 45 pounds, perform manipulative tasks, walk, stand, stoop, and maintain visual and auditory discrimination. Capable of concentrating with interruptions, attending to tasks for extended periods, and remembering multiple tasks over time.

Environment and Working Conditions:

Work in a healthcare setting with residents experiencing diverse medical and psychological conditions. Flexible schedule required. Exposure to blood, body tissues, and infectious fluids is possible.
