Overview

High Meadows Environmental Institute (HMEI) seeks an organized, proactive, and customer-focused individual for the role of Undergraduate and Graduate Program Manager. The Program Manager provides leadership in the administration of HMEI’s undergraduate and graduate teaching programs including the undergraduate Program in Environmental Studies (ENV) and HMEI’s Graduate Fellowship offerings and activities.

Reporting to the Executive Director, the Program Manager works closely with and supports the ENV Program (faculty) Director, HMEI Graduate programs faculty advisor(s), Academic Deans and the central administrative offices of the University, and academic administrators in academic departments from across campus to ensure the successful operation of HMEI’s cross-disciplinary undergraduate and graduate teaching programs. HMEI’s academic programs engage students from 30+ academic disciplines who have a shared interest in environmental topics.

The Program Manager serves as an ambassador for the ENV Program, acts as the primary liaison between HMEI’s academic programs and key stakeholder constituents, including faculty, lecturers, undergraduate and graduate students, the Office of the Registrar, the Office of the Deans of the College and the Graduate School, and other administrative and academic units. The Program Manager manages administrative tasks to support program function, policy decisions, financial oversight and compliance. They ensure both faculty and students have the necessary resources, preparation and information to fulfill program objectives and to be compliant with HMEI and University deadlines and requirements.

Functional responsibilities include administering ENV courses and the ENV Minor, managing Fellowship applications, advising students, and maintaining confidential student records. The Program Manager assists faculty in curriculum planning and course related activities including course development, course enrollment and promotion, and maintains information in the Course Information System. They identify and recruit preceptors/Ais for ENV courses; administer teaching appointments and contribute to the development of HMEI’s teaching budget. The Program Manager maintains data to support budgeting and financial reconciliations, benchmarking, annual reporting, planning and analysis.

The Program Manager works collaboratively with other senior staff, HMEI leadership and faculty to advance HMEI’s educational mission and the Environmental Studies minor and Graduate Fellowship programs. The Program Manager is the primary student point of contact and creates a welcoming and supportive environment for all students, acting as an enthusiastic advocate for their success.

Responsibilities

Academic Program Management and Advising

  • Advise undergraduate and graduate students enrolled in HMEI/ENV academic programs
  • Track student progress in meeting program requirements
  • Manage student nominations and awarding of prizes
  • Maintain metrics and benchmarks for reporting and planning purposes
  • Appoint and supervise student note-takers

Curriculum Management and Reporting

  • Assist ENV (faculty) Director with curriculum matters and approval of cross-listings
  • Work w/ faculty/lecturers, ODOC and Registrar on course production, new course development, and exam administration.
  • Manage course logistics (AI recruitment, classrooms, IT support, course-related fieldwork)
  • Prepare analyses/reports on faculty teaching, enrollments, degree completion/attrition, etc. to inform planning.
  • Provide content for Annual Report.
  • Administer year-end surveys to gauge engagement and satisfaction.

Graduate Programs and Research Fellowship Management

  • Manage application cycle and awarding of Fellowships; Facilitate review and selection of awards.
  • Track student progress towards deliverables.
  • Maintain records and benchmarks including careers/placement.

Communications and Events

  • Produce copy for website, brochures, promotions and Undergraduate Announcement.
  • Produce Undergraduate Research: An Archive of Student Independent Work.
  • Plan and implement events, gatherings and functions including Class Day, Sophomore and Graduate Student Open Houses, Capstone Workshops/Dinners, Discovery Day Poster Show

Teaching Appointments

  • Contribute to the development of Teaching Budget (FTE).
  • Develop and maintain AI budget.
  • Prepare teaching appointments for DoF approval

  • Demonstrated ability to gather, analyze, interpret, and present data (quantitative and qualitative) for varying constituencies and purposes
  • Ability to exercise good judgment, maintain confidentiality, and handle sensitive information in a discreet manner
  • Very high level of competency with Word, Excel, PowerPoint, Zoom, and MSN and Google applications

Preferred Qualifications:

  • Working knowledge of Princeton University business systems such as PeopleSoft, Stellic, Labor Accounting, Information Warehouse, Prime, Concur, Canvas and scheduling systems.
  • Experience in a University academic department setting.
