Job Description
- Coordinate directly with clients regarding estate planning documents and signing appointments
- Prepare estate execution packages and manage all post-signing follow-ups
- Witness and notarize estate planning documents
- Format and revise wills, trusts, powers of attorney, and related documents
- Maintain organized digital and physical client files
- Collect, compile, and process sensitive financial and legal documents
- Draft and edit letters, emails, and general correspondence
- Handle incoming mail, emails, and document scanning
- Manage attorney calendars and schedule meetings using Outlook
- Process billing, invoices, credit card reconciliations, and reimbursements
- Make travel and restaurant reservations as needed
- Assist with other administrative tasks and special projects
Qualifications
- Minimum 5 years of experience in a legal assistant or legal coordinator role within trusts & estates
- Strong communication, proofreading, and organizational skills
- Able to work well under pressure and adapt to shifting priorities
- Proficient in Microsoft Word and Outlook; Adobe Acrobat and DocuSign a plus
- Familiarity with iManage and HotDocs strongly preferred
- Notary public (or willingness to become one)
- Comfortable taking initiative and managing projects independently
