Job description

Trust Administrator II

The Trust Administrator II role will be responsible for serving as a relationship manager to most routine and standard client relationships. This role will participate in the proper management and administration for assigned trust accounts, adhering to applicable laws and regulations, as well as complying with all requisite policies and procedures. This role may act as the intermediary to the organization on behalf of clients and coordinate service activities with other areas of the organization.

Position Responsibilities
Administration
  1. Manage most routine accounts under the direct supervision of a Trust Advisor, in accordance with the terms of the governing documents, applicable laws, and the needs of principals, income beneficiaries, and remaindermen.
  2. Review and confirm analysis of documents for direction; evaluate accounts for completeness and accuracy; monitor and submit account transactions for approval; draft responses to incoming correspondence and client requests to ensure compliance with governing documents, laws, policies, and procedures.
  3. Field client inquiries, respond to administrative and transactional concerns, and observe the implementation and review of investment programs.
  4. Work under the supervision of a Trust Advisor to develop solutions for issues raised by principals, income beneficiaries, and remaindermen, such as requests for special distributions, fee issues, or disputes.
  5. Oversee account opening and closing, ensure receipt of proper documentation, ensure full and complete transfer of assets, correct characterization of cash as income or principal, and accurate tax and administration codes.
  6. Monitor and track tax reporting activities, coordinating with senior Trust Administrators.
Compliance
  1. Meet all compliance requirements under supervision, including conducting Reg 9 reviews, presenting proper documentation for discretionary actions, completing AML and other required training.
  2. Stay current on fiduciary, tax, and legal changes affecting client wealth plans or account administration.
Team Member Responsibilities
  1. Assist in data collection for projects that support the broader business and improve service delivery efficiency.
  2. Contribute actively to the team, providing feedback and sharing best practices.
Position Qualifications
  • Bachelor's Degree and 2 years of experience in trust administration, investments, insurance, or related client service role OR High School Diploma/GED and 6 years of similar experience.
  • 5 years of experience using Microsoft Office, including Word and Excel.

Work Best Category: Category B - 3-4 days in office on designated days, 1-2 days remote.
Hours: 8:00am - 5:00pm, Monday - Friday.
Salary: To Be Determined Based on Individual Experience.
