Job summary

Agua Caliente Band of Cahuilla Indians in Palm Springs, CA is seeking an Administrative Assistant to support senior managers and executives. You will produce confidential reports, prepare communications, respond to inquiries, and manage multiple projects and assignments with discretion.

The role requires strong MS Office skills, 5+ years of administrative experience, and excellent English communication. Expect a professional office setting with opportunities to contribute to tribal operations

Qualifications

  • Education: High school diploma or GED; Associates preferred.
  • At least 5 years of experience at an Administrative Assistant level or higher.
  • Strong PC skills with MS Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong English written and verbal communication; ability to interact with all levels of management and staff.
  • Ability to organize, prioritize, meet deadlines, and work with minimal supervision.

Responsibilities

  • Coordinate in-person and/or online meetings.
  • Outlook calendar management for executives.
  • Independently perform department level projects as assigned.
  • Prepare and distribute agendas, packets, and minutes for Indian Planning Commission meetings.
  • Prepare and distribute Agua Caliente Water Authority agendas, packets, and minutes.
  • Prepare Departmental annual report and weekly Tribal Council materials.
  • Review and prepare property tax statements for processing.
  • Produce and edit documents using various software; file and distribute as required.
  • Greet visitors and manage access to individuals.
  • Answer, screen, and direct department calls.
  • File and retrieve documents and reports; manage department documentation.
  • Assist in processing and mailing department documents.
  • Draft internal and external communications for department projects.
  • Track and report department expenditures including invoice processing.
  • Provide excellent guest service and adhere to regulations.

Job Description Summary

Supporting senior-level managers and executives, providing clerical and administrative support including the production of written/verbal communications, preparing highly confidential and business-sensitive reports and presentations, responding to department-level inquiries, and executing various complex projects and assignments.

Essential Duties and Responsibilities (other duties may be assigned)
  • Coordinate in-person and/or online meetings
  • Outlook calendar management for CPO.
  • Independently perform department level projects as assigned
  • Prepare and distribute Indian Planning Commission agendas, agenda packets and minutes of each meeting.
  • Prepare and distribute Agua Caliente Water Authority agendas, agenda packets and minutes of each meeting.
  • Prepare and distribute Departmental agenda packets for weekly Tribal Council meetings
  • Prepare Departmental Annual Report
  • Review and prepare property tax statements for processing
  • Produce and edit a wide range of documents using a variety of software. Copy, distribute and file as required while maintaining a professional and secure workstation.
  • Open, sort, and distribute incoming correspondence, including email
  • Greet visitors and determine whether they should be given access to specific individuals
  • Answer, screen, and direct department incoming calls
  • File and retrieve documents, records, and reports.
  • Assists in the processing and mailing of department documents.
  • Draft internal and external communication relating to department projects.
  • Assists in the tracking and reporting of department expenditures including invoice processing.
  • Provide excellent guest service.
  • Must adhere to all Tribal Ordinance, Regulations, and the ACCC System of Internal Controls, and Standard Operating Procedures.

Qualifications: Education and/or Experience
  • High school diploma or GED.
  • Associates Degree in Business Administration or equivalent preferred.
  • A minimum of 5 years experience at an Administrative Assistant level or higher or any combination of education, training, or experience that provides the required knowledge, skills, and abilities.
  • Must have strong PC skills being proficient with MS Office Suite, including Outlook, MS Word, Excel, and PowerPoint.
  • Strong English is a written and verbal communication skill set. Ability to relate to all levels of management, Tribal Membership, visitors, and employees in verbal/written form.
  • Ability to organize/prioritize work, meet deadlines, and work with minimal supervision and multiple interruptions.
Working Conditions/Physical Demands

To perform this job successfully, the individual must be able to stand, move and work throughout the office area and properties, including walking up to 1 ½ mile, climbing stairs, and sitting at a desk/work station for the duration of the shift. Must be able to work in a smoke-filled environment.

Typically the individual will be housed in an office environment. The noise level in the work environment is usually moderate but will elevate when located in the casino environment. Must be able to grasp, bend, lift and/or carry or otherwise move goods weighing a minimum of 25 lbs. on an intermittent basis, and sufficient dexterity of hand to use office equipment including, but not limited to: a computer keyboard, calculator, general office equipment and multi-line telephone.
