Job summary

Orthodontic Experts is seeking a Treatment Coordinator to support patients through their orthodontic journey. You will communicate treatment plans, coordinate scheduling and payments, and educate patients on financing and dental benefits.

This full-time role requires strong customer service, sales experience, and knowledge of medical terms. Travel to sister clinics may be required; bilingual Spanish is a plus.

Qualifications

• High school diploma or GED required.
• 3 years of customer service experience.
• 1 year of Treatment Coordinating experience.
• Bilingual Spanish preferred.

Responsibilities

• Consult with patients to understand oral health history and objectives.
• Explain treatment plans and address questions.
• Assist in scheduling and payment arrangements.
• Conduct financial consultations with patients.
• Manage payment options and policies for patients.
• Educate patients on dental benefits and financing options.
• Track accounts receivable and balances for timely payment.
• Assist in collections for outstanding balances.
• Introduce new patients to the practice and explain health history and doctor’s examination.
• Conduct treatment consultations with new and existing patients.
• Update TC Spreadsheet daily.
• Make outbound calls to patients (welcome, lost cases, denials).
• Greet and check patients in/out before/after treatment.
• Participate in marketing events.
• Cash handling and basic payments.

As a Treatment Coordinator, you will be providing support to our patients in their orthodontic journey. You will be responsible for communicating with patients and their family members to ensure that they understand their treatment plans and any changes that may occur.

Tasks Include But Are Not Limited To

• Consult with patients to understand their oral health history, concerns, and objectives.
• Explain the treatment plan, address patient concerns, and answer any questions.
• Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment arrangements.
• Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented.
• Manage and maintain the payment options and policies for patients.
• Understand the practice’s policy on working with Ortho benefit plans and be prepared to educate patients on their dental benefits.
• Communicate with all outside and third-party financing companies offered to patients and educate patients on the available outside financing options.
• Track patient accounts receivable and outstanding balances to ensure timely payment.
• Assist in Practice’s collections protocol for all outstanding balances.
• Introduce new patients to the practice by going over health history, explaining the doctor’s examination and describing any other features about the practice that should be highlighted.
• Conduct treatment consultations with all new patients and with existing patients when new treatment plans are presented.
• Updating TC Spreadsheet on a daily basis
• Conducting Dialing outbound calls to patients. (Welcome calls, Lost Cases, Denials etc.)
• Greet and check patients in and out before and after treatment.
• Participate in Marketing events
• Cash Handling
• Answer incoming calls to include new patient calls, emergencies, scheduling patient appointments, requesting records, and follow up.
• In the event you are traveling to another clinic, you are required to perform all duties and responsibilities of your role including administrative tasks.
• Responsible in helping to maintain a clean/sanitized clinic/office area.
• Other tasks as assigned.

Requirements

• High school degree or GED equivalent
• 3 years of customer service experience
• 2 years of sales experience
• 1 year of Treatment Coordinating experience
• Knowledge of medical terms and practices
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access.)
• Excellent problem solving and de-escalation skills
• Excellent written and verbal communication skills
• Bilingual - Spanish

Working Hours / Location

• Monday – Wednesday 8:45am – 5:00pm
• Thursday & Friday 6:45am – 3:00pm
• 2 Saturdays per month
• Two 9:45 am to 6:00 pm shifts per month
• Travel availability to our Homewood, Merrillville, Portage clinics for coverage
• Full time
