Catalyst Exhibits seeks a Traveling Tradeshow Supervisor to oversee on-site execution, setup, and dismantling of trade show exhibits. You will coordinate logistics with GSCs, review blueprints, ensure safety and quality, and maintain schedules and budgets.

Role requires traveling extensively, strong leadership, and excellent communication with clients and exhibit houses. This position is based in the United States with multi-site events, including evenings and weekends as needed.

Qualifications

  • Experience in trade show exhibit installation or event production.
  • Read blueprints, floor plans, and installation drawings.
  • Willingness to travel extensively; flexible schedule including evenings, weekends, holidays.
  • Valid driver's license; ability to travel by air and ground.
  • Strong communication and customer service skills.
  • Knowledge of GSC procedures and union labor environments.

Responsibilities

  • Participate in pre-event meetings with internal Catalyst departments and review project specs.
  • Coordinate contracted labor, union workers, and installation crews; monitor performance.
  • Oversee inbound logistics, show site staging, and inventory control during install and dismantle.
  • Ensure exhibit structures, graphics, lighting, and tech components are correctly installed; perform final inspections.
  • Oversee dismantling, packing, and outbound shipping; proper labeling and asset protection.
  • Serve as on-site client contact; provide status updates and resolve concerns.

Position Summary

The Traveling Tradeshow Supervisor is responsible for overseeing the on-site execution, setup, and dismantling of trade show exhibits. This role communicates with installation crews, coordinates logistics with General Service Contractors (GSCs), ensures compliance with venue and union regulations, and delivers high-quality exhibit installations on schedule and within budget.

Key Responsibilities
Project Management
  • Participate in pre-event meetings with internal Catalyst departments.
  • Review exhibit blueprints, installation manuals, and project specifications before each event.
  • Identify and resolve on-site challenges while maintaining project timelines.
Crew Leadership & Supervision
  • Assist in the coordination of contracted labor, union workers, and installation crews.
  • Assist in monitoring performance and ensure safe work practices.
  • Oversee labor hours and productivity to minimize overtime and control costs.
On-Site Logistics Coordination
  • Coordinate inbound freight, material handling, and exhibit component staging.
  • Work closely with General Service Contractors (GSCs), venue personnel, and show management.
  • Verify receipt of materials and ensure proper inventory control during installation and dismantle.
Exhibit Installation
  • Ensure all exhibit structures, graphics, lighting, and technology components are installed correctly.
  • Maintain quality standards and perform final inspections before show opening.
Dismantle & Asset Management
  • Oversee the safe dismantling, packing, and outbound shipping of exhibit materials.
  • Ensure proper labeling, inventory tracking, and protection of exhibit assets.
Client Relations
  • Serve as the primary on-site contact for clients and exhibit house representatives.
  • Provide professional communication and status updates throughout the event.
  • Address client concerns promptly and ensures a positive event experience.
Required Qualifications
  • Experience in trade show exhibit installation, event production, or experiential marketing.
  • Proven leadership experience communicating with installation crews and subcontractors.
  • Ability to read and interpret blueprints, floor plans, and installation drawings.
  • Knowledge of trade show operations, GSC procedures, and union labor environments.
  • Strong problem-solving and organizational skills.
  • Excellent communication and customer service abilities.
  • Ability to travel extensively and work flexible schedules, including evenings, weekends, and holidays.
  • Valid driver's license and ability to travel by air and ground transportation.
Preferred Qualifications
  • Experience with custom exhibit fabrication and large-scale trade show installations.
