We are a luxury tour operator that designs unique, experiential trips around the USA, Canada and the Caribbean for our international clients. We work with the top travel agencies and tour operators around the world and our clients are celebrities, CEOs and world leaders. We create unique experiences like access to Hollywood movie premieres, digging for dinosaur bones with paleontologists and after-hours access to museums. Arranging private plane charters, yachts, villas and working with 5-star hotels is a normal part of our offerings.

Our Operations Department is looking for a dedicated and organized Travel Services Manager who lives in Hawaii and has approximately four years of experience in travel, tourism, or hospitality services. This is a great opportunity for someone who is confident managing travel operations and is ready to take the next step in their career.

You’ll provide legendary customer service and crucial support to our luxury clientele before, during and after their travels. You will support the Operations team in providing crucial guest insights, as well as trip reports for statistical tracking. Your assistance will help ensure that our trips are executed seamlessly, and our client’s expectations are exceeded. You will represent the company during interactions with senior-level managers at some of the top hotels, travel agencies and tour operators.

Main Roles and Responsibilities:

Booking Process

  • Book any trips or alterations – including last minute items with our vendors, suppliers and service providers
  • Verify cost of service, including ensuring it matches costs as loaded in our Systems/contracts, and those quoted/priced by Travel Designers during the quotation process
  • Support Sales Managers and the Finance Department if needed, as it relates to accurate client and vendor invoicing/payments
  • Compile and organize booking correspondence easy-access by all departments (via Dropbox or other shared resource)

Quality Control & Reporting (As assigned)

  • Ensure Itineraries are re-confirmed with hotels and providers, prior to travel (following established Quality Control guidelines)
  • Ensure the internal operations system is fully accurate, and extract various report for use by the Operations team as directed

Client Services & Trip Support

  • Ensure all aspects of a guest’s trip is executed seamlessly by our on-site providers
  • Be a critical on-call, 24/7 trip support contact for the guests or local on-site providers, should they need you
  • Review itineraries with guests, ensuring all questions, logistical routings, and services are covered
  • Provide unique insights, so that guest create fond memories and can maximize their time in each region they are vesting
  • Assist with any trip alterations, including booking services, handling payments, invoices or billing as needed
  • Obtain feedback from both guests and providers, ensuring we can communicate proactively back to Travel Agencies when needed
  • Handle complaints or service discrepancies on the guest and company’s behalf, when they arise, ensuring adequate resolution to all problems
  • Engage guests pre and post trip to encourage incremental spend, tailor experiences and promote loyalty with us and/or Travel Agency partners
  • Strive to hit incremental sales targets, using a creative, customized, and highly tailored approach
  • As a liaison, ensure guest files are reviewed with the Sales Team and ensure specific preferences, requests or feedback is shared or delivered when needed
  • Provide a detailed account of the guest file when needed, and promote seamless communication between the Operations and Sales Team
  • Ensure that all Itinerary information is updated and reflected accurately in the booking systems, immediately following trip conclusion

Skills and Experience Required:

  • Proven ability to deliver exceptional customer service, particularly to discerning travelers
  • Familiarity with the luxury travel market and experience working with upscale clientele
  • Flexibility to work non-traditional hours, including availability for on-call support during client travel (may include early mornings or late nights)
  • Solid knowledge of travel destinations across the U.S. West Coast and Hawaii
  • Self-motivated with the ability to work independently and manage time effectively
  • Strong business writing and professional communication skills
  • Basic proficiency with database systems
  • Working knowledge of Microsoft Office Suite, particularly Excel
  • College degree or equivalent relevant coursework preferred
