Job summary

Reser’s Fine Foods is seeking a Travel Coordinator to manage travel requests, bookings, and expense coding for meetings and events. You will coordinate air, hotel, and ground transportation for on-site and off-site venues, ensuring compliance with company travel policies.

The role requires strong knowledge of GDS systems, airline tariffs, and the ability to multitask in a fast-paced environment, with strict confidentiality and professional communication throughout.

Qualifications

  • Extensive knowledge of the GDS reservation system.
  • Ability to read, define, and apply airline tariffs and fare rules.
  • Capable of prioritizing, multi-tasking and handling high volumes in a fast-paced environment.
  • Maintain confidentiality of travel information and communicate professionally.

Responsibilities

  • Deliver prompt responses to voicemail and email requests.
  • Book travel including American Express and Delta Skybonus as directed.
  • Plan meetings and events with expertise in travel arrangements.
  • Arrange group air, ground and hotel bookings for on-site and off-site venues.
  • Follow company travel policies and attach billing codes.
  • Process refunds, voids, and complex ticketing.
  • Manage unused ticket files for future use.
  • Provide reporting between travel providers and accounting.
  • Negotiate contracts and rates to save on cars, hotels, and airlines.
  • Set up direct bill hotels when appropriate.
  • Identify and resolve potential issues before they occur.
  • Maintain partnership with the Travel Agency Host for smooth operations.
  • Arrange backup coverage for vacations or sick days.
  • Assist with personal travel for employees when time permits.

Principle Duties and Responsibilities

  • 1. Delivers prompt responses to voicemail and email requests.
  • 2. Books American Express and Delta Skybonus Award travel as directed.
  • 3. Offers expertise in complete meeting and event planning.
  • 4. Provides group air, ground and hotel arrangements at both on-site at facilities and off-site venues.
  • 5. Adheres to current travel policies and procedures set forth by the company. This includes following the approval process as required and attaching proper billing codes.
  • 6. Processes voids, refunds, complex ticketing and exchanges.
  • 7. Manages unused and partially used ticket file towards future travel.
  • 8. Facilitates reporting between travel providers and Reser’s accounting team.
  • 9. Negotiates contracts and rates resulting in savings on cars, hotels and airlines.
  • 10. Set-ups and utilizes direct bill hotels when appropriate.
  • 11. Identifies potential issues before they occur and take steps to avoid and/or resolve them.
  • 12. Builds and maintains a successful team partnership with the Travel Agency Host that includes frequent communication.
  • 13. Arranges for in-office back up from the agency to cover vacation, or if necessary off-site coverage for sick days.
  • 14. Assists and arranges personal travel for company employees and their families as time allows or refers to specialized travel agency partner.

Job Specifications

  • 1. High School Diploma or equivalent is required.
  • 2. Extensive knowledge of the GDS reservation system. Ability to navigate web-based travel sites and the Internet for research and information.
  • 3. Ability to read, define, and apply the airline tariffs and fare rules
  • 4. Able to work in a fast-paced environment, capable of prioritizing, multi-tasking and handle high volume effectively.
  • 5. Maintain strict confidentiality of travel information as directed.
  • 6. Ability to work autonomously and independently, combined with creative problem-solving skills.
  • 7. Demonstrate a strong sense of urgency while maintaining exemplary detail accuracy under pressure.
  • 8. Maintain a highly professional attitude and personal presentation in all verbal and written communications.

Working Conditions

  • 2. Ability to work from home office

This position is eligible for a bonus based on company goals/performance.
