What you'll do

  • Plan and manage complex domestic and international itineraries for the founder, executive team, and business trips (flights, hotels, ground transport, visas)

  • Anticipate scheduling conflicts, time zone issues, and logistical curveballs - and fix them quietly, before anyone notices

  • Build and maintain relationships with travel partners to unlock upgrades, flexibility, and last-minute availability

  • Coordinate with executive assistants, the leadership team, and external partners to align travel with business priorities

  • Handle real-time changes calmly - flight cancellations, weather delays, last-minute meeting adds

  • Maintain travel policies, preferred vendor lists, and documentation (passports, visas, loyalty programs)

  • Stay current on travel advisories, entry requirements, and safety considerations

What we're looking for

  • 3+ years of experience in travel management, executive support, or a related coordination role

  • Excellent judgment under pressure and comfort with ambiguity

  • Discretion - you'll have visibility into sensitive schedules and information

  • Strong relationships with or working knowledge of major airlines, hotel loyalty programs, and travel booking platforms

  • Available for occasional off-hours support when travel disruptions happen
