Job Summary

This is a Trainee position for the Travel Agency and is designed as preparatory for a Travel Agent position. The Travel Agent builds strong relationships and delivers differentiated travel experiences. This position will support the Travel Agency in selling and serving our clientele while gaining education and experience. The Trainee position is designed to lead to a promotion to a Travel Agent position, dependent upon overall job performance, including but not limited to sales volume, service quality results and use of computer systems. This position will sell and provide all international and domestic travel products and modes of transportation. The Trainee must maintain consistently high levels of service quality, sales and cross-sell goals while maintaining confidentiality of all client/member information in accordance with Federal/State laws and Club policies and procedures. The Trainee position is designed as a transitional role with the objective of moving into the Travel Agent position within approximately six months. Trainees are expected to advance to the Agent role or transition out of the Trainee role within this timeframe.

Job Duties

• Learn and develop skills to sell foreign and domestic travel products and services. Effectively utilize lead management tools to cultivate new business while building repeat business. Advise clients on travel requirements, protection plans, and related trip advisory information. Follow all organizational policies and document all transactions accurately. Develop product knowledge to support the organization’s Preferred Supplier program and achieve sales and cross-sell goals. Issue international driving permits and passport photos. Gain knowledge to provide air, car, hotel, rail reservations and ticketing for members and non-members. Use appropriate computer systems to fulfill travel requests.
• Track and maintain all transactions for accuracy, including supporting documentation, signature requirements, payment processing, and travel documents, in line with Club policies and procedures. Maintain confidentiality of client/member information.
• Develop expertise on Club products and services, member offers, and industry trends. Research and compare suppliers’ rates and adjust based on client needs. Maintain service quality to meet/exceed branch and corporate objectives.
• Identify cross-sell opportunities based on member product needs and service requests. Enhance member relationships by diversifying product usage and provide sales leads to other departments as appropriate.
• Maintain administrative requirements (wage & hour compliance, expense reports, training attendance, scheduled duties).
• Analyze cruise and tour packages to satisfy client expectations and minimize delays in service. Resolve problems with management assistance when needed.
• Document and explain write-offs or shortages to management.

Qualifications

• High School GED Required
• Associates Preferred
• 1-3 years Travel agency or sales experience preferred
• Moderate knowledge of operating areas, products, and branch operations delivery channels
• Advanced verbal and written communication skills
• Moderate analytical and time management skills
• Knowledge of computer systems used to fulfill member travel requests and travel agency accounting systems preferred
• Typing, Windows, Outlook, Word, and Internet/Intranet skills
• General knowledge of Club systems (e.g., Apollo, Viewpoint) and familiarity with preferred vendor websites for cruise and tour packages; Travel Insurance knowledge preferred
