Job description

The Trauma/Surgery Registrar supports the VCU Health System's adult and pediatric Trauma and Surgical Programs, ensuring compliance with verification standards for Level 1 Trauma/Surgery Centers by the Commonwealth of Virginia and the American College of Surgeons. This role involves maintaining a registry database, identifying cases for inclusion, and abstracting data from electronic medical records, prehospital databases, and other sources.

The Registrar assigns ICD-10 diagnosis codes and other specialized codes, including Abbreviated Injury Scale (AIS) scores, following established methodologies and coding rules. Responsibilities include performing daily chart reviews, entering data into the registry, and reporting complications and quality issues to supervisors. Ensuring adherence to data management protocols for accurate and timely reporting to regulatory agencies is essential. The Registrar also assists with performance improvement activities.

Licensure, Certification, or Registration Requirements for Hire: Certified Professional Coder (CPC); Certified Coding Specialist (CCS); or an equivalent coding certification or Registered Health Information Technician (RHIT) preferred.

Licensure, Certification, or Registration Requirements for Continued Employment: Certification by the Association for the Advancement of Automotive Medicine as an Abbreviated Injury Scale Specialist (CAISS) within 18 months of hire is required for Trauma Registrars. Alternatively, CPC, CCS, or other equivalent coding certifications within 18 months of hire are required for Surgery Registrars.

Experience REQUIRED: One year of work experience in registry data abstraction/coding or two years in medical data abstraction/coding. Proficiency with MS Office, including email, Word, and Excel.

Experience PREFERRED: Trauma or surgery registry abstraction/coding experience, expertise with Windows-based software, familiarity with current regulatory requirements, and knowledge of medical terminology related to diagnosis, procedures, complications, and comorbidities.

Education/training REQUIRED: Associate's Degree in any field with two semesters of medical terminology and Anatomy/Physiology or in medical records coding from an accredited program. Work experience may be considered in lieu of credentials with HR approval.

Education/training PREFERRED: Completion of ICD-10 coding courses.

Independent actions: Performing daily chart reviews, assigning ICD-10 and specialized codes, interpreting medical information, and managing patients with varying complexity levels, including those with multiple complications and deaths.

Additional requirements: Willingness to work evenings and weekends as needed. The position involves physical activities such as lifting less than 20 lbs., prolonged sitting, repetitive keyboarding and mouse use, and mental tasks including reasoning, problem-solving, and reading. The environment is fast-paced and requires adaptability. The role may be remote, with a day/evening shift schedule.
