Job summary

BKF Engineers, a multi-service infrastructure firm, is seeking a Project Assistant to support project managers across transportation and other sectors. The ideal candidate has 2-5 years of experience in the AEC industry and strong Microsoft Office skills.

Responsibilities include drafting letters and emails, updating lists, tracking billing, and coordinating plan sets and submittals. The role requires reliable transportation and willingness to travel to BKF locations and client sites.

Qualifications

• 2-5 years of experience as a Project Assistant or Coordinator in AEC
• Strong organizational and time management skills
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite; PDF editor (Bluebeam Revu preferred)
• AutoCAD experience is a plus

Responsibilities

• Assist project manager in preparation of draft letters and emails for project-related correspondence
• Update and maintain electronic lists (Outlook, Excel, Google Docs)
• Track project billing and create monthly progress reports
• Open project numbers for proposals and contracts
• Set up project folders and file documentation
• Track outstanding issues and coordinate with managers and engineers
• Coordinate meetings and attendees lists
• Plot and collate plan sets and electronic PDFs
• Track submittals and RFIs; maintain logs
• Draft contract documents for review
• Submit contract review requests and track status
• Assist with quarterly contract management reporting
• Request Certificates of Insurance (COIs)
• Visit sites to photograph existing conditions and travel to sites
• Assist in Accounts Receivable collections outreach and aging reports
• Coordinate with accounting on payment discrepancies
• Prepare basic collection metrics reports
• Support Special projects and administrative tasks
• Prepare letters and emails for various contractual documentation
