About the Department:

The Office of the Provost champions an inclusive university community devoted to academic excellence, consequential research and scholarship, and innovative practices that inspire, engage, and transform lives. The Office of the Provost is charged with overseeing all aspects of education, research, and public engagement of the university. The Provost has direct oversight over all colleges, schools, and academic support units. Additionally, in conjunction with senior administration of the university, the Provost is responsible for the allocation of resources for academic programs and functions. Supporting the Provost in these efforts is the Academic Administration team which is devoted to sustaining George Mason University’s mission.

The Academic Administration team provides leadership and strategic guidance through resource allocation and alignment, business analyses, modeling, project management, partnership development, and communications. The office also manages the administrative, budget, and personnel operations for the Office of the Provost and the offices for which it has direct oversight.

The Transformation Management and Operations team serves as an internal support structure for the university and is charged with preparing and incubating new ideas for hand-off to operational leaders.

About the Position:

The Transformation Coordinator within the Academic Administration division in the Office of the Provost supports largescale innovation and initiatives in education, with internal and external partners, in areas focusing on the student experience, research, teaching, and technology, and assists with evaluating strategic opportunities for the university. The Transformation Coordinator is responsible for the administrative operations of the Transformation team, tracking the portfolio of projects, maintaining project artifacts, and providing administrative and operational support to large initiatives.

This position reports to the Executive Director of Transformation Management and Operations, and works in partnership with university stakeholders including academic units under the Office of the Provost, schools and colleges, and other university divisions such as ITS, HR, and Finance.

Responsibilities:

  • Maintains all artifacts and resources for the Transformation team’s portfolio of initiatives and projects, ensuring resources and documentation are up to date and available;
  • Supports the development and maintenance of standard operating procedures and templates;
  • Manages repositories and archives of team materials and helps develop reporting; and
  • Assists the Executive Director with setting and tracking performance metrics.

Project Coordination:

  • Supports Transformation team-led initiatives and projects through notetaking, presentation development, artifact and resource development and maintenance;
  • Schedules meetings for large transformation initiatives, working in conjunction with offices for senior university leadership; and
  • Tracks large transformation initiatives, identifying administrative and operational needs and working with the Transformation team to develop and implement solutions.

Operational Coordination:

  • Supports administrative needs for the Transformation team, including scheduling, team meeting coordination, and planning;
  • Serves as search coordinator, managing and tracking Transformation team searches;
  • Maintains professional development resources; and
  • Liaises with the Provost Office and central administration teams to coordinate operational tasks for the Transformation team.

Other related duties as assigned.

Required Qualifications:

  • High school diploma or equivalent;
  • Considerable experience (generally 3-5 years) managing complex calendars for executive level staff members and large meetings;
  • Considerable experience (generally 3-5 years) managing and organizing a fast-paced team environment;
  • Demonstrated exceptional written and verbal communication skills, including proofreading and editing skills;
  • Demonstrated exceptional interpersonal skills with the ability to work creatively and collaboratively with internal and external constituents;
  • Ability to be a creative thinker, and have intellectual curiosity to bring innovation and excellence to this key role;
  • Ability to be organized and detail-orientated; and
  • Ability to manage change effectively.

Preferred Qualifications:

  • Bachelor’s degree in related field, or equivalent combination of education and experience;
  • Prior experience working with in a university or educational setting;
  • Prior experience with systems such as PageUp, Banner, Microsoft Outlook, and/or similar systems; and
