Job summary

Brown Brothers Harriman in Boston is seeking a Senior Transfer Agency Shareholder Services Representative. You will process client and investor inquiries, support the review and authorization of processing, and serve as the main contact for client and inter-departmental queries while working a 12:00 PM – 8:00 PM shift with three office days per week.

This role requires a bachelor’s degree or equivalent, 1–3 years in transfer agency or fund accounting, and strong attention to detail.

  • Experience in a client servicing environment.

Responsibilities

  • Log inquiries in the management database and escalate as needed.
  • Oversee day-to-day department activities.
  • Validate tasks including client reporting.
  • Handle special processing situations with oversight.
  • Collaborate with Client Service Managers on launches.
  • Prepare mailings for vendors and ensure prospectus compliance.
  • Maintain low error rates and meet deadlines.
  • Ensure adherence to procedures and suggest improvements.
  • Complete month-end reporting and client communications.

Transfer Agency Shareholder Service Representative – Senior

BBH is looking to bring on a Transfer Agency Shareholder Services Representative Senior. This individual will be responsible for the processing of all internal and external enquires and other related tasks for the funds for which BBH acts as Registrar. Specifics responsibilities include assisting the Manager, Team Leader and/or Supervisor with the review and authorization of processing as directed, be the key contact for client, investor or inter-departmental queries arising. This individual will cover the 12pm-8pm shift, and work from the office 3 days a week.

Responsibilities
  • Process and validate all inquiries within agreed internal and external Service Level Agreement’s.
  • Ensure all inquiries are logged into the query management database, follow up inquiries that remain unresolved outside of agreed Service Level Agreement’s and review with the Supervisor or Manager any issues requiring escalation.
  • Assist in overseeing the day-to-day activities of the department.
  • Validate and approve related tasks including but not restricted to client reporting.
  • Effectively handle special processing situations including exceptions that require strong oversight.
  • Actively participate and work with the Client Service Managers and Production Support in the launch of any incremental business.
  • Ensure the preparation of any mailings required for internal or external vendors.
  • Ensure terms of Funds prospectus are being always adhered to.
  • Keep errors and omissions at a strict minimum at all times and ensure deadlines are met.
  • Ensure that policies and procedures are adhered to on a daily basis and have this proofed and suggest changes or amendments procedures and service standards, as identified.
  • Complete month end reporting internally and externally.
  • Remain knowledgeable of changing industry initiatives (attend to presentations, work sessions & personal effort) and educate clients continually through presentations.
  • Establish solid contacts with all areas and all levels at clients’ organizations as well as inter departmental.
Qualifications
  • Bachelors degree and/or equivalent work experience.
  • Minimum of 1-3 years of Transfer Agency, Fund Accounting, or other fund industry experience.
  • Ability to work 12:00 PM – 8:00 PM Shift.
  • Prior experience working in a client servicing focused work environment.
  • Attention to detail and proven ability to handle complexity.
  • Ability to multitask and to manage competing priorities given broad portfolio of clients.
  • Ability to work effectively under pressure and demonstrate initiative.
  • Proven ability to communicate effectively both verbally and in writing.
  • Proven ability to adapt to change and problem solving.
  • Good knowledge of standard Office applications (Word, Excel and PowerPoint).
  • Knowledge or prior experience of payments systems and reconciliations systems and or Multi-funds is an advantage.
  • Ability to work overtime as necessary.

Salary Range

$55,000-$70,000 + annual target bonus

BBH and its affiliates' compensation program includes base salary, discretionary bonuses, and profit-sharing. The anticipated base salary range(s) shown above are only for the indicated location(s) and may differ in other locations due to cost of living and labor considerations. Base salaries may vary based on factors such as skill, experience and qualification for the role.
