Job summary

People, Technology & Processes, LLC is seeking a Training Coordinator to manage NSW force readiness and training programs in San Diego, CA. You will coordinate COIs, oversee registration pipelines, and maintain training portals and CANTRAC/CeTARS data interfaces.

The role requires a SECRET clearance, extensive NSW/SOF training experience, and strong logistics skills to optimize rosters, transport, and equipment readiness across multiple commands.

Qualifications

  • Ability to obtain required qualifications for FOSOV and vendor vehicles in remote training environments.
  • Active SECRET security clearance is required.
  • At least 10 years of relevant professional experience, incl. 2+ years in NSW/SOF support.
  • Experience with NSW FRTM and IDTC or equivalent SOF training pipelines.
  • Experience navigating military training databases (CeTARS, CANTRAC, ATRRS, NLEAD, JLLS).
  • Proven ability to design and maintain SharePoint administrative portals for training.
  • Experience in training logistics: prioritizing rosters, coordinating personnel, and transporting supplies.
  • Familiarity with DTS and JTR guidelines for student travel.

Responsibilities

  • Coordinate and schedule NSW FTRM COIs and specialized contractor COIs (TGM, UAS, UUV, USV, FPV).
  • Manage student registration and enrollment across six commands.
  • Maintain accurate records of course requirements, reporting schedules, and gear lists.
  • Serve as primary informational point for NSW and non-NSW personnel seeking registration.
  • Monitor IDTC schedules and update training pathways in response to operational shifts.
  • Coordinate logistics for contracted COIs, including medical staff and vehicle mechanics.
  • Verify equipment storage integrity and monitor contracted vendors for compliance.
  • Design and maintain the SharePoint Schools Portal with current COI prerequisites and rosters.
  • Input, analyze, and manage training records across CANTRAC, CeTARS, ATRRS, and NLEAD.
  • Navigate training networks to ensure registration and maintain central qualification database.
  • Archive student feedback, AARs, and extract lessons learned for JLLS entries.
  • Track the training budget and provide weekly status reports to leadership.
  • Assist in DTS travel orders generation and travel data collection.

Responsibilities Include (but Are Not Limited To)
  • Coordinate and schedule NSW Force Readiness and Training (FTRM) required Courses of Instruction (COIs); specialized USA, USMC, and USAF COIs; and contracted COIs (to include Tactical Ground Mobility [TGM], Unmanned Aerial Systems [UAS], Unmanned Underwater Vehicles [UUV], Unmanned Surface Vehicles [USV], and First-Person View [FPV] drone systems).
  • Manage and execute the student registration and enrollment pipeline for six commands.
  • Maintain precise records of course requirements, reporting schedules, coordinating instructions, and mandatory gear lists.
  • Serve as the primary informational focal point for both NSW and non-NSW personnel seeking registration or programmatic info.
  • Monitor IDTC schedules daily and dynamically update training pathways in response to sudden operational shifts in Professional Development (PRODEV), Unit Level Training (ULT), or Tactical Ground Integration Training (TGIT) schedules.
  • Coordinate logistics for all Contracted COIs, compile, organize, and control the prioritization of training rosters, coordinate safety assets, to include resourcing necessary medical personnel, tactical vehicle mechanics, and vehicle requirements.
  • Verify equipment storage integrity, identify broken or missing assets needing immediate replacement, and monitor contracted vendors to ensure compliance.
  • Design, manage, and maintain the SharePoint-based Schools Portal, ensure the portal remains populated with accurate, current COI prerequisite criteria, reporting information, student rosters, and schedules.
  • Input, analyze, and manage training records utilizing corporate naval education portals, including Volume I & II of the Catalogue of Navy Training Courses (CANTRAC), the Corporate Enterprise Training Activity Resource System (CeTARS), the Army Training Requirements and Resources System (ATRRS), and NLEAD.
  • Navigate and utilize corporate enterprise training networks to ensure student registration, maintain, update, and manage the central database tracking individual qualifications across all assigned COIs.
  • Ensure student feedback, critiques, and After-Action Reports (AARs) are securely compiled and archived.
  • Extract lessons learned from completed COIs and log formal entries into the Joint Lessons Learned System (JLLS) to improve the effectiveness of training.
  • Monitor and track the tactical ground mobility training budget, update expenditures, obligations, projections, provide weekly status reports of budget obligations, allocations, and expenditures to the Government leadership to ensure fiscal compliance.
  • Complete and maintain standard Defense Travel System (DTS) training and manage and facilitate the generation of student DTS travel orders in direct support of contracted COIs.
  • Collect travel reports from command Department Heads and consolidate data, assist in ensuring accurate data is collected for maintenance of records, files, and documentation of expenditures.
  • Assist in liaising with the local commercial travel office for arrangements of travel to localities in and out of the Continental United States (CONUS). assist in analyzing and answering questions on completed travel orders and contacting the Personnel Support Detachment (PSD) for resolution of problems or discrepancies in computation of payment.
  • Perform analysis of non-liquidated travel claims to determine reasons for outstanding balances and recommend courses of action to clear the travel claims.
  • Perform routine maintenance on command personnel DTS profiles to ensure accuracy for address, credit card numbers, expiration dates, and bank account numbers, assist the Command Government Travel Charge Card (GTCC) Coordinator, and assist in collecting and compiling all documentation pertaining to the travel credit card program.
  • Run monthly reports on airline ticket refunds, returned statements, presuspension, aging analysis, transactions over $2,500.00, account renewals, new accounts, account listings, lost/stolen accounts, transaction activity, exception reports on foreign vendors, non-travel activity, authorizations/declines, credit balances, delinquencies, and ATM/cash activity exemptions for all command travel card holder accounts.
Qualifications
  • Possess the ability to obtain the necessary qualifications to operate the Family of Special Operations Vehicles (FOSOV) and commercial vendor vehicles in remote training environments.
  • Possess an active SECRET security clearance.
  • Possess a minimum of ten (10) years of relevant professional experience. This must include at least two (2) years of recent experience (within the last two years) supporting Naval Special Warfare (NSW) or similar Special Operations Forces (SOF). Additionally, the Contractor must demonstrate a thorough understanding of the NSW Force Readiness and Training Manual (FRTM) and the Inter-Deployment Training Cycle (IDTC) training pipeline, or similar SOF readiness manuals and training pipelines.
  • Demonstrate experience navigating and operating primary military training databases or equivalent SOF-specific training systems to process student training records and qualification histories. These systems include, but are not limited to, the Navy corporate enterprise Training Activity Resource System (CeTARS), Volumes I & II of the Catalogue of Navy Training Courses (CANTRAC), the Army Training Requirements and Resources System (ATRRS), NLEAD, and the Joint Lessons Learned System (JLLS), or similar SOF training databases.
  • Demonstrate experience designing, managing, and maintaining administrative portals specifically, SharePoint-based school and training sites. This includes but not limited to tracking prerequisite data, updating course rosters, and distributing scheduling updates.
  • Demonstrate experience in training logistics support. Required capabilities include but not limited to prioritizing course rosters, coordinating specialized personnel (e.g., medical staff, vehicle mechanics), transporting and staging training supplies, conducting physical equipment inspections, and performing Contractor oversight.
  • Demonstrate experience operating within the Defense Travel System (DTS) and applying Joint Travel Regulations (JTR) guidelines to facilitate student travel.
  • Hold, or be capable of immediately obtaining, DTS ODTA Permission Level 0 and Non-DTS Entry Agent Permission Level 5 credentials.
  • Demonstrate experience monitoring training budgets, tracking obligations and expenditures, and drafting weekly financial status updates.
  • Demonstrate working experience applying Naval Education and Training Professional Development or similar military instructional systems development standards to coordinate training.
  • Demonstrate proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams) to compile after-action reports (AARs), manage local spreadsheets, and coordinate with external commands.
