Position Overview:
We are seeking a detail-oriented and proactive Trademark Paralegal to join our growing team. The ideal candidate will support our attorneys in managing all aspects of the trademark lifecycle—from application preparation to docket management and client communications. This is a critical role for ensuring accuracy, efficiency, and a seamless client experience.

Key Responsibilities

1. Trademark Docketing & Deadline Management

  • Maintain and oversee trademark docketing systems (AppColl and AltLegal)

  • Enter new client and trademark application information

  • Monitor weekly deadlines and send reminders to attorneys

2. Client Communication & Case Management

  • Send electronic trademark questionnaires to potential clients

  • Coordinate consultations with the Office Manager

  • Notify clients of filings, deadlines, registrations, and USPTO communications

  • Respond to outstanding client inquiries

3. Trademark Application Preparation

  • Prepare USPTO trademark applications for attorney review

  • Finalize and file applications per attorney instructions

4. USPTO Correspondence Management

  • Review and report USPTO communications to clients

  • Draft responses to procedural or stylistic refusals for attorney review

  • Finalize and file USPTO responses

5. International Trademark Coordination

  • Communicate with foreign attorneys regarding international trademark filings

  • Respond to inquiries and obtain filing quotes from foreign associates

Qualifications
  • Proven experience as a Trademark Paralegal (minimum 2–3 years preferred)

  • Familiarity with USPTO systems and procedures

  • Experience with docketing platforms such as AppColl and/or AltLegal

  • Exceptional attention to detail and organizational skills

  • Strong written and verbal communication skills

  • Ability to manage deadlines and work independently

  • Professional, client-service mindset

Preferred qualifications
  • Paralegal Certificate or related legal education

  • Experience in a boutique or IP-focused law firm

  • Prior experience coordinating with international counsel

Working hours:

This is a remote position with an opportunity to work from 9 am to 5 pm or 10 am to 6 pm in the US EST time zone (you may check the time difference via the link)
