Job summary

OCASA is seeking a Tracking Specialist to monitor time-sensitive clinical trial shipments from pickup through delivery in our Miami office. You will keep clients and internal teams informed and act quickly when something goes off track.

This hands-on, organized, tech-savvy role requires English and Spanish fluency, excellent communication, and strong Excel skills to maintain tracking, temperature, and compliance records.

Qualifications

• Fluency in English and Spanish.
• Strong communication, customer service, and teamwork skills.
• Excellent organization and attention to detail, with the ability to manage priorities and meet deadlines.
• Confidence using Microsoft Office—especially Excel—and logistics or shipment-tracking systems.
• Experience with clinical trial logistics, cold-chain operations, or regulated environments is a plus.

Responsibilities

• Track shipments in real time, provide timely updates, and maintain accurate tracking, temperature, and compliance records.
• Coordinate with Operations, OKAM, carriers, sites, and clients to confirm priorities and delivery requirements.
• Resolve delays, missing updates, documentation gaps, and temperature or environmental deviations, escalating issues when necessary.
• Respond to client questions and serve as an escalation point for study-specific concerns.
• Monitor KPIs and service performance, identify trends, and prepare concise status reports.
• Support study validation activities and continuous process improvement.

Work Details

• Office-based position in Miami.

• Occasional after-hours or on-call support may be required.

• Occasional domestic or international travel may be necessary.
