Job summary

American Golf Corporation is seeking a Tournament Sales Coordinator to provide administrative and operational support for the Tournament Sales Team. You will coordinate tournament details after contracting, serving as the communication link among clients, Sales, Golf Operations, F&B, and course teams.

The ideal candidate is highly organized, computer savvy, and familiar with golf operations, tee times, and tee sheets.

Qualifications

  • Two or more years in administrative, sales support, tournament, event, hospitality, or golf operations.

Responsibilities

  • Coordinate tournament and group golf details from contracting to completion.
  • Manage and reconcile payments accurately.
  • Maintain event information in Tripleseat, Tee Sheets, and other systems.
  • Track contracts, deposits, payments, guarantees, player counts, deadlines, and docs.
  • Maintain calendars and coordinate dates with Golf Operations and leadership.
  • Enter tournament blocks and tee times in TeeSheets/Tripleseat.
  • Identify scheduling conflicts and escalate as needed.
  • Communicate tournament requirements to involved departments.
  • Prepare event orders, summaries, client lists, spreadsheets, reports.
  • Maintain organized electronic files and records.
  • Follow up with clients on contracts, deposits, payments, and menus.
  • Assist with post-event documentation and billing.
  • Maintain confidentiality of client and pricing information.
  • Provide admin support to Tournament Sales team.
  • Perform other duties as assigned.

Job Purpose

The Tournament Sales Coordinator provides administrative and operational support for the Tournament Sales Team. This position coordinates tournament details after each golf tournament/golf outing have been contracted through event completion and serves as a key point of communication between clients, Sales, Golf Operations, Food & Beverage, and golf course teams.

The ideal candidate is highly organized, computer savvy, detail-oriented, and familiar with golf operations, golf outings/tournaments, tee times, and tee sheets. Success in this position requires the ability to manage multiple events, contracts, payments, tee sheets, deadlines, and client requests while providing a high level of service in a fast-paced golf and event environment.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Coordinate tournament and group golf details aftercontractingthrough event completion.
  • Proven ability to accurately manage, process, and track payments while ensuringtimelyand proper reconciliation.
  • Maintainaccurateand current event information inTripleseat, tee sheetsand other company systems.
  • Trackand collectcontracts, deposits, payments, guarantees, player counts, deadlines, andrequiredclient documentation.
  • Maintain tournament calendars and coordinate tournament dates with Golf Operations and course leadership.
  • Enter andmaintaintournament blocks, tee times, and related information inTeeSheets,Tripleseatand/or otherrequiredsystems.
  • Review tee sheets and tournament calendars toidentifypotential scheduling conflicts and communicate concerns toappropriate management.
  • Coordinate player lists, pairings, starting times,formats, cart requirements, scoring information, signage, contests,merchandise, food &beveragesand other tournamentlogistics.
  • Communicate tournament requirements and changes to Golf Operations, Food & Beverage, and other departments involved in event execution.
  • Prepare event orders, tournament summaries, client lists, spreadsheets, reports, and other operational documents.
  • Maintain organized electronic files andaccuraterecords for tournaments, outings, and groupgolfevents.
  • Follow up with clientsregardingcontracts, deposits, payments, guarantees, player counts, menus, event details, and other outstanding information.
  • Assistclients with questionsregardingtournamentlogistics, course policies, timelines, and event requirements.
  • Escalate pricing exceptions, unusual client requests, contract changes, or significant operational issues to theappropriate manager.
  • Assistwith post-event documentation, billing information, client follow-up, and recordkeeping.
  • Maintain confidentiality of client, company, pricing, contract, and financial information.
  • Provide administrative and operational support to the Tournament Sales team as needed.
  • Perform other duties and responsibilities as assigned.
GOLF KNOWLEDGE AND EXPERIENCE
  • Working knowledge of golf course operations and golf terminologystronglypreferred.
  • Familiarity with golf tournaments, outings,formats,pairings, player counts, cart assignments, contests, scoring, and tournament flow preferred.
  • Experience with tee sheets and tee-time reservation systems, includingteesheetor similar golf management software, strongly preferred.
  • Ability to understand how tournament bookings affect daily golf operations and available tee-time inventory, especially inthe public golf sector.
  • Previousexperienceat agolf course, country club, resort, tournament, event, hospitality, or similar environment preferred.
TECHNOLOGY AND ADMINISTRATIVE SKILLS
  • Exceptional communication and attention to detail, with the ability to manage and prioritize multiple client and team communications effectively in a high-volume, fast-paced environment.
  • Strong computer and technology skillsrequired.
  • Proficiencywith Microsoft Outlook and professional email communication.
  • Proficiencywith Microsoft Excel, including creating andmaintainingspreadsheets, sorting, filtering, organizing data, and using basic formulas.
  • Proficiency with Microsoft Word, including preparing and editing contracts, correspondence, and event documents.
  • Experience withTripleseator similarCRM -event sales and management software strongly preferred.
  • Experience withtee sheet or another golfreservation/bookingsystemsstrongly preferred.
  • Ability to quickly learn and effectively navigate new software and technology platforms.
  • Strongdata-entry,document-management, and recordkeeping skills.
  • Ability to accurately prepare, review, andmaintaincontracts and detailed event documentation.
QUALIFICATIONS
  • High school diploma or equivalent required;additionaleducation in business, hospitality, golf management, sales, ora relatedfield preferred.
  • Two or more years of administrative, sales support, tournament, event, hospitality, or golf operations experience preferred.
  • Golf course or tournament experiencestronglypreferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Ability to manage multiple tournaments, deadlines, and priorities simultaneously.

  • Ability to work independently on assigned responsibilities while collaborating effectively with multiple departments.
  • Reliable attendance and ability to meet the scheduling requirements of the position.
SCHEDULE
  • This is a full-time, non-exempt position generally scheduled for40 hoursper week.
  • Because tournaments and golf eventsfrequentlyoccur outside traditional business hours, flexibility is an essential requirementofthis position.
  • The employee may occasionallybe requiredto work different oradditionalhours, including evenings, weekends, and holidays, based on business needs.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
  • This position requires regular use of a computer, telephone, and other office equipment and may involve extended periods of sitting. The employee must also be able to stand and walk for extended periods when supporting tournaments and events.
  • The position requires the ability to move throughout the clubhouse, golf course, tournament staging areas, and other indoor and outdoor areas. The employee must be able to communicate effectively with clients, guests, and team members as well asvisually review contracts, tee sheets, computer screens, spreadsheets, and other detailed information.
  • The employee may occasionallybe requiredto lift, carry, push, or pull materials and supplies weighing up to 25 pounds.

COMPENSATION

The hourly pay range for this position is$22.00–$24.00 per hour. Actual starting pay will bedeterminedbased on factors such as relevant experience, golf and tournament knowledge, qualifications, skills, and other job-related considerations, consistent with applicable law.
