Tour and Guide Coordinator

Summary: Coordinate and schedule internal and external requests for guided- and self-guided in-person tours and virtual field trips. Maintain schedules for and communications with volunteer educators. Provide support for training programs for volunteer educators.

Essential Duties and Responsibilities:

  • Coordinate all aspects of self-guided and SLAM staff- and volunteer-led in-person visits and virtual tours for adult, school, and community groups.
  • Process and fulfill requests from the public and other Museum departments for guided- and self-guided tours.
  • Reserve event and gallery spaces for self-guided and guided visits, copyists, and other public gallery- and classroom-based programs and activities.
  • Schedule regular drop-in tours for the general public in collaboration with the Associate Educator, Guide Programs.
  • Assign volunteers and staff to lead scheduled guided tours.
  • Coordinate other aspects of tours with other departments as needed (e.g., restaurant reservations, exhibition tickets).
  • Maintain schedules, rosters, and regular communications for Engagement and Interpretation volunteers (docents and guides).
  • Assist with preparing and maintaining resources for tours and other engagement activities, including in the Tour Resource Room, at www.guideinfo.slam.org, and in galleries and other public spaces.
  • Greet scheduled groups to welcome them to the Museum and provide information to help ensure a positive visit.
  • Assist with preparation and implementation of virtual and in-person tours and trainings for Engagement and Interpretation volunteers, and attend trainings. Step in to lead tours when needed.
  • Coordinate tour needs and logistics with other Museum departments including but not limited to Curatorial, Marketing, Event Operations, Visitor Services, Protection Services, Facilities, Development, and the Director’s Office.
  • Perform tasks related to Engagement and Interpretation contracting, purchasing, meeting scheduling, special projects and represent the department at recurring internal meetings.
  • Collect, maintain, and report in-person and virtual tour and program participation statistics for the Learning and Engagement Division on a quarterly and annual basis and as needed for grant proposals, reports, and other purposes.
  • Other duties as assigned by supervisor.

Qualifications: High school diploma; previous administrative and customer service experience; command of Microsoft Office; proficiency with Momentus or similar event scheduling platform; proven ability for building and sustaining positive working relationships with internal and external colleagues, volunteers, and a diverse range of public audiences; strong time management, organization, written and oral communication, and independent problem-solving skills. Preferred: Post-secondary coursework or degree; familiarity with art history, K-12 education, art education, and/or museum education; proficiency with WordPress, audio/video recording and editing, and teleconferencing/webinar platforms.

Hiring Range: $20.35 - $24.42 per hour, commensurate with experience. Competitive full benefits package is available on Day 1, including three weeks of vacation annually with one week available immediately, a museum-funded pension, museum-paid disability insurance, and a world-class wellness program.

Status: Regular full-time (37.5 hours/week)

Selected candidates will be required to submit to a criminal background check and drug screen before hire.
