ABOUT THE GUINEA WORM ERADICATION PROGRAM (GWEP):

The Carter Center spearheads the international Guinea worm eradication campaign and works in close partnership with national programs, the World Health Organization, U.S. Centers for Disease Control and Prevention, UNICEF, and many other partners. Currently, the GWEP assists national programs in: Angola, Cameroon, Central African Republic, Chad, Ethiopia, Mali, and South Sudan.

SUMMARY:

The Program Assistant is responsible for providing the necessary support to the Guinea Worm Eradication Program (GWEP) by answering phones; drafting correspondence; handling logistics of meetings, conferences, and special projects; researching information for reports and presentations; preparing and processing travelers; assisting staff with administrative functions (including contracts and data entry of programmatic expenses); assisting in submission of publications; maintaining office functionality; and handling department procurement. This position will report to the Program Associate. Due to the travel locations, Hostile Environment Awareness Training (HEAT) will be required.

KEY RESPONSIBILITIES:

  • Provides day-to-day administrative and logistical support for program staff, projects, special assignments, initiatives, studies, and special assignments.
  • Prepares briefing materials, drafts routine correspondence, and helps coordinate meetings and internal communications.
  • Coordinates the printing and distribution of program reports, and assists in editing and formatting scientific and program publications.
  • Oversees the travel logistics for staff, consultants, and other partners for domestic and international assignments, including booking flights and accommodations, visa processing, and securing travel documents.
  • Manages contracts for international and domestic consultants and program partners, including communications between GWEP staff, TCC Contracts, and the contractors.
  • Monitors end dates and informs contract managers in advance of contract expiration. Processes renewals, as necessary.
  • Serves as the program's liaison to Finance, Overseas Operations, and Contracts; managing all communication between TCC Finance and contractors.
  • Processes financial documents including purchase orders, invoices, travel advances, and expense reports for staff and contractors.
  • Maintains and updates the GWEP staff calendar, ensuring accessibility through the Health Programs' SharePoint intranet.
  • Works with and maintains data management and filing for projects/program.
  • Coordinates the procurement of office supplies and program materials, monitors office needs and equipment to ensure functionality, and requests maintainance or repairs, as needed.
  • Organizes meetings and events.
  • Ensures compliance with all organizational policies and procedures, and coordinate efficient office procedures in support of program activities.
  • Maintains professional growth and development of self by identifying educational/training programs, professional organizations, activities, and resources.
  • May supervise work study students and volunteers.
  • Performs other related duties as required.

MINIMUM QUALIFICATIONS:

  • A high school diploma or equivalent AND five years of administrative experience, OR a bachelor's degree.
  • Proficiency with various personal computer software applications.

PREFERRED QUALIFICATIONS:

  • A bachelor’s degree in business administration, communications, international relations, health administration, or a related field, AND three or more years of office administration, senior secretarial or related experience, OR seven years of office administration, senior secretarial or related experience in lieu of a bachelor's degree.
  • The ability to work in a fast- paced environment and must exhibit a cordial demeanor and be capable of day-to- day organization and follow-up.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Access, SharePoint and Adobe Acrobat are required.
  • Experience with international travel or work is beneficial but not required.
  • Fluency in written and spoken Portuguese is preferred. French speaking highly preferred.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to The Carter Center on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines. All non-exempt employees must reside within the state of Georgia. The Carter Center reserves the right to change remote work status with notice to employee. Applicants must be currently authorized to work in the United States for any employer.
