Job summary

Avison Young - USA is seeking a Tenant Coordinator to join our Property Management team in Tysons, VA. You will support the Property Manager by handling lease administration, reporting, accounts payable, filing, and event coordination to meet tenant service needs and maintain high satisfaction.

You will establish strong relationships with tenants and vendors, manage building access, assist with monthly reports, and ensure accuracy of records.

Qualifications

  • Associates degree or equivalent required.
  • Minimum 3+ years of related experience.
  • Industry certifications (RPA) a plus.
  • Strong interpersonal, organizational and communication skills.
  • Proficient in CMMS and property management software.

Responsibilities

  • Provide full administrative support including filing and correspondence.
  • Assist with lease administration and monthly reporting.
  • Process accounts payable and vendor communications.
  • Coordinate building events and tenant activities.
  • Maintain accurate tenant records and emergency contacts.

Overview

The Tenant Coordinator reports to the Property Manager and supports the Property Management team to meet the tenant service needs of the building. The individual in this position will assist and support with the management and administrative requirements for the building, including, but not limited to, lease administration, reporting, filing, accounts payable, organizing and maintaining accurate records, event planning and amenity coordination. Establish excellent relationships with all tenants to administer quick resolutions to tenant needs that may arise and maintain the highest levels of tenant satisfaction. Written and verbal communication skills must be at the highest level.The base hourly rate is aligned with market data and is estimated between $27.00 to $31.00 with the ability to achieve additional compensation through bonus. This hourly range reflects base compensation for the position across all US locations. Within this range, individual pay is determined by work location and other factors including relevant education/training, experience, and internal equity.

Responsibilities
  • Promote a positive and reliable rapport with tenants and building staff.
  • Provide full administrative support, including phone support, typing reports, filing and drafting/distribution of correspondence, and the like.
  • Maintain a strong relationship with regular interaction with tenants and vendors.
  • Ensure high quality customer service for tenants, including work orders and tenant requests.
  • Assist with coordinating building events as required (i.e., fire drills, tenant appreciation, holiday events, and the like.)
  • Program building access cards.
  • Coordinate with security regarding concerns from tenants.
  • Assist in the preparation of monthly reports.
  • Maintain and update tenant emergency contact information.
  • Handle all mailings.
  • Maintain inventory of office supplies.
  • Assist lease administration with tenant sundry billing.
  • File and initiate invoice processing.
  • Respond to tenant requests and needs and coordinate with Property Management and building staff to resolve issues.
  • Assist with scheduling and facilitating maintenance for tenants.
  • Schedule and coordinate meetings/special events, as requested.
  • Assist with documenting and tracking all certificates of insurance from vendors and tenants.
  • Prepare correspondence and memos for tenants.
  • Establish and maintain positive relationships with internal and external tenants and vendors.
  • Support and provide leadership in a commitment to achieve AY and client expectations for service and business objectives.
  • Consistently uphold and apply the company’s policies regarding appropriate professional behavior to ensure that the values of the firm are exhibited by the actions of the staff.
  • Perform other related duties as requested.
Qualifications

Basic requirements and key functional responsibilities of the Assistant Property Manager include, but are not limited to the following:

  • Associates degree or equivalent.
  • Candidate will possess a minimum of 3+ years of related experience.
  • Industry-certifications, RPA, etc. a plus.
  • Strong interpersonal, organizational and communication skills.
  • Must be able to multi-task, prioritize and be self-sufficient.
  • Detail oriented.
  • Must be customer service oriented, professional and courteous both in-person and on phone.
  • Proficient in C.M.M.S. including Angus, Facility360 or similar, Yardi, Microsoft
  • Word, Excel, PowerPoint, and Project.
  • Ability to express ideas clearly in written and verbal communications, with the capability to create complex financial and business-related documents.
  • Strong organizational skills and detail oriented.
  • Proven record of providing excellent internal and external customer service.
