Job summary

NTS Capital in Louisville, KY seeks a Commercial Operations Coordinator to manage maintenance requests, track work orders, and coordinate with engineers, vendors, and property managers to keep portfolios running smoothly.

You will provide responsive customer service to tenants, gather requirements, monitor aging orders, and help identify recurring issues while supporting admin tasks. This role offers growth opportunities and a collaborative culture.

Qualifications

• Bachelor's Degree required.
• Experience in property management, facilities, maintenance coordination, operations, customer service, or administrative support is a plus.
• Experience with work order management or property management software is a plus.

Responsibilities

• Serve as a primary point of contact for maintenance and service requests across our Commercial & Healthcare portfolio.
• Provide professional, responsive customer service to tenants and internal teams.
• Gather information from tenants to understand maintenance needs, priorities, and urgency.
• Create, document, dispatch, and track work orders from initial request through completion.
• Coordinate with field engineers, maintenance technicians, vendors, and property management teams to keep service requests moving.
• Monitor open and aging work orders, following up to ensure timely resolution.
• Keep tenants informed of service status and updates.
• Review completed work orders for documentation and closeout.
• Assist with tracking response times, completion rates, and other service-related activity.
• Identify recurring maintenance issues and service trends.
• Support Capital Asset Request tracking, including estimates, vendor bids, project documentation, invoicing, and completed projects.
• Maintain accurate operational records within work order and accounting systems.
• Provide day-to-day administrative support to property management and engineering teams.
• Assist the Operations Manager and Managing Director with communications, meetings, reporting, and other administrative needs.
• Look for opportunities to improve processes and streamline workflows.
