Assistant Office Manager

POSITION SUMMARY:

To perform a range of administrative tasks that are essential to the smooth operation of our school and instructional programs. The Assistant Office Manager will contribute to the creation of a safe and conducive learning environment that aligns with the high expectations of achievement within Framingham Public Schools. Specifically, the Assistant Office Manager will serve as the Main Office receptionist, playing a pivotal role in maintaining effective communication and organization within the administrative hub of our school as well as provide essential administrative support where needed to the High School Principal.

TRAINING AND EXPERIENCE:

Preferred qualifications for this position include previous successful experience in a school office setting or a customer service-related role, with a focus on calendar management. ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provide comprehensive support to the building principal in day-to-day operations, planning, and organization, ensuring smooth and efficient functioning of the school.

  • Maintain and streamline efficient systems and processes, identifying areas of improvement and suggesting necessary changes to optimize productivity.
  • Respond promptly and professionally to inquiries from parents, addressing their concerns and providing necessary support.
  • Create a warm and welcoming environment by warmly greeting, directing, and assisting families and visitors. Effectively use the electronic badge system to ensure accurate tracking of visitor entry and exit.
  • Handle incoming phone calls from a wide range of stakeholders such as external vendors, community members, parents, organizations, district and city personnel, and staff members, ensuring prompt and appropriate routing of inquiries.
  • Generate required reports, as requested by the building principal, using accurate and up-to-date data.
  • Assist in distributing handouts and fliers, both in print and electronic formats, to effectively communicate important information to the school community.
  • Support daily dismissal procedures, ensuring the safe and orderly transition of students from the school premises.
  • Handle incoming and inter-district mail, sorting and distributing it efficiently to the appropriate recipients, maintaining effective communication channels.
  • Prepare various documents, reports, and presentations for the building principal, ensuring accuracy, professionalism, and adherence to deadlines.
  • Manage the building principal's calendar, including scheduling meetings, appointments, and events, to optimize their time and facilitate effective planning and organization.
  • Carry out any other reasonable duties assigned by the building principal, contributing to the overall success of the school and supporting the principal's vision and goals.

PHYSICAL WORKING CONDITIONS:

Employees work in an office with moderate noise levels (such as computers and printers) and controlled temperature conditions. The position requires frequent sitting, standing, walking, and to reach with hands and arms occasionally. Ability to talk and to hear continuously. Ability to lift up to 20 pounds periodically. Finger dexterity is required continuously for the normal work shift, such as for typing, filing, dialing the phone, etc. Some travel between schools may be necessary, so the ability to operate a motor vehicle and maintain a valid Driver’s license is required; the employee shall be compensated per the contract with a travel allowance as the applicable rate per the Framingham Teachers Association Administrative Support (Unit S) Contract.

REPORTS TO:

Building Principal The performance of this job will be evaluated as per the Framingham Teachers Association Secretaries (Unit S) Contract.

None.

This position is classified as Non-Exempt (Hourly).

TERMS OF EMPLOYMENT:

Covered under the Framingham Teachers Association Administrative Support (Unit S) Contract. Please note that the District reserves the right to transfer all personnel among buildings on an as needed basis to serve the best interests of all students as long as such transfer is in compliance with the Framingham Teachers Association Administrative Support (Unit S) Contract.
