    The Environmental Engineering and Consulting team delivers solutions for complex environmental challenges using our regulatory expertise and implementing practical and cost-effective compliance management processes and programs. We address our clients’ biggest concerns around permitting, ecoservices, assessment, and remediation.

    Our highly trained and experienced engineers and scientists, environmental and remediation specialists, geologists, hydrogeologists, biologists, and environmental compliance specialists work with both public- and private-sector clients, delivering turnkey solutions.

    A DAY IN THE LIFE

    Our Administrative Assistant position is located in our office in sunny Santa Ana, California. We are seeking part-time temporary Administrative Assistant (Jul-Dec 2023).

    As a key member of the Santa Ana team, this role will be responsible for a full range of activities including:

    • Prepare communications, such as memos, emails, invoices, reports and correspondence

    • Process incoming supplier invoices and route for approval

    • Liaise with Suppliers and our Corporate accounting team regarding Accounts Payable inquiries

    • Enter project ad-hoc charges into ERP system, Workday

    • Create New Customer Requests

    • Create Supplier Requests

    • Utility Management – track charges and payments for project utility accounts

    • Assist with preparation and maintenance of training document

    • Update process tracking sheets as needed

    • Maintain Business Licenses

    • Create and maintain filing systems, both electronic and physical

    • Manage mail distribution and shipping for departments

    • Assist in the preparation of reports and project/customer document

    • Create and maintain filing systems, both electronic and physical

    • Order/maintain office and project supplies

    • Maintain contact lists

    • Other duties as assigned

    YOUR EXPERTISE AND SKILLS

    To perform this job successfully, individuals must be able to perform each duty and responsibility satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

    Job Requirements

    • High School Diploma or equivalent, plus 1 year relevant experience.

    • Excellent interpersonal skills as well as high level writing and oral communications skills are essential.

    • Outgoing, self-starter with optimism and drive; good organizational skills and flexibility.

    • Strong grammar, spelling, composition, and proofreading abilities.

    • Ability to multi-task and work under the pressure of a deadline driven environment.

    • Proficiency with Microsoft Office, Adobe, Microsoft Project, and other software programs as applicable.

    • Ability to define problems, collect data, establish facts, and draw valid conclusions to present to supervisor.

    Pay ranges from $17 to $19 per hour, commensurate with accomplishments, performance, credentials and geography.
