General Notes

The Office of Scholarships and Financial Aid is seeking a detail-oriented Temporary Financial Aid Administrator to support the operational, compliance, and processing functions of the office. This temporary position is primarily responsible for administering federal, state, and institutional aid programs while ensuring compliance with applicable regulations and university policies. The Temporary Financial Aid Administrator works within a designated operational team and assists with complex processing, eligibility review, reconciliation, reporting, systems support, and compliance activities related to Federal, state, and institutional funding. Our goal is to recruit and support staff and students with a wide range of backgrounds, ideas and viewpoints. Must be eligible to work in the United States on a full-time basis for any employer. This is a full-time fixed-term position with an anticipated end date of August 31, 2027.

Purpose

The Temporary Financial Aid Administrator provides routine financial aid counseling and processing support by applying established federal, state, and institutional policies and procedures. This position is responsible for the consistent execution of standard workflows related to advising, eligibility review, and aid awarding, ensuring accuracy, compliance, and responsive, student-focused service. The Temporary Financial Aid Administrator works under general guidance as part of the Office of Scholarships and Financial Aid (OSFA), serving as an active and engaged contributor while collaborating across the office to support service delivery and referring complex or non-standard cases for advanced review.

Responsibilities
Financial Aid Processing & Compliance
  • Run daily and weekly reports and automated processes required to maintain compliance with federal Title IV, state, and institutional financial aid regulations
  • Assist with financial aid processing, including monitoring system output, verifying applicant eligibility, and resolving eligibility issues
  • Review and resolve financial aid files and conflicting information
  • Award state, federal, and institutional financial aid funds as needed
  • Recalculate student eligibility based on corrections made by students or the financial aid office
  • Process students not handled through automated packaging due to changes in eligibility or exceptional circumstances
  • Support operational and compliance updates related to legislative and regulatory changes, including implementation impacts associated with the One Big Beautiful Bill Act (OBBA)
  • Maintain a strong working knowledge of federal, state, and institutional financial aid regulations and policies
Operational Support & Team Functions
  • Assist Team Leads and Associate Directors in completing assigned projects and operational tasks within established deadlines
  • Participate in systems testing, implementation activities, and operational improvement initiatives
  • Work collaboratively as a member of a designated financial aid processing and compliance team
Communication, Coordination & Training
  • Interact with university departments, state and federal agencies, and external partners as needed
Escalations & Specialized Review
  • Manage complex escalations and case reviews within assigned team
  • Review submitted information for completeness, accuracy, and compliance concerns
  • Resolve data discrepancies and processing exceptions
  • Maintain a high level of professionalism and technical understanding of the financial aid process when communicating regarding operational issues or documentation requests
Additional Responsibilities
  • Support audit preparation, reconciliation, quality control, and compliance review activities
  • Assist supervisors and leadership with special projects and operational initiatives
Required Qualifications
  • High school diploma or GED required, and 2 years of related experience.
  • Strong analytical, organizational, and problem-solving skills
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Experience working with computer systems, spreadsheets, databases, and operational workflows
Preferred Qualifications
  • Previous financial aid experience preferred
  • Experience working with federal Title IV financial aid programs and higher education systems
  • Knowledge of federal, state, and institutional financial aid regulations and compliance requirements
  • Experience working in a large public university environment preferred
Salary Range

$45,000+ depending on qualifications

Working Conditions
  • This is a fixed-term contract position with an anticipated end date of August 31, 2027.
  • Work may be performed in a professional office environment. The position includes frequent interaction with students, staff, and external partners in person, by phone, and through electronic communication.
  • A hybrid work arrangement may be considered on a limited basis with supervisory approval, based on demonstrated experience, job responsibilities, performance, and departmental needs.
  • Position requires prolonged periods of sitting, extensive use of a computer and multiple software applications, and the ability to manage multiple priorities while maintaining attention to detail during periods of increased workload.
Employment Eligibility:

Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers. Staff who are promotion/transfer eligible may apply for positions without supervisor approval.

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
