General Purpose
Under general supervision, performs complex technical dutiesevaluating and analyzing student academic records to determineeligibility for degrees or certificates; prepares certificationsfor general education transfer requirements; provides technicalinformation and assistance; and performs related duties asassigned.
Essential Duties & Responsibilities
- Provides day-to-day lead work guidance and direction to otherstaff and student aides; assigns, schedules and monitors work forcompleteness, accuracy and conformance with District, departmentand legal/regulatory requirements and standards; providesinformation, instruction and training on work procedures andtechnical, legal and regulatory requirements.
- Evaluates student academic records, including records fromother local, state, private, out-of-state and internationalinstitutions, to determine student transfer credit followingestablished procedures, in consultation with the ArticulationOfficer; verifies completion of educational requirements fordegrees, certificates, California State University GeneralEducation (GE) breadth requirement certification andInter-segmental General Education Transfer Curriculum (IGETC)Certification.
- Evaluates, researches and interprets transcripts, coursedescriptions and other documents to determine course equivalenciesand course substitutions; evaluates transcripts and other documentsfor courses and units completed and course level, content and unitvalue; determines number of units accepted by reviewing catalogs,grading systems and/or by contacting other institutions viatelephone, written communication and by utilizing otherappropriate reference materials; converts quarter units to semesterunits where applicable.
- Provides technical assistance and information to students,counselors, faculty and staff regarding the interpretation ofDistrict policies, procedures and federal/state regulations relatedto graduation and CSU/UC general education certification; explainsbasis for evaluation, researches student inqueries, resolvesproblems and makes corrections as needed; assists students incompleting various forms and documents.
- Provides information and technical assistance to othercolleges, universities and institutions outside of the Districtregarding course transfers, course equivalencies, course contentand other evaluation- related requirements.
- Audits and reviews military records, advanced placement testscores, College-Level Examination Program (CLEP) test scores,external course credits, units and grades to determine and recordnumber of units awarded; determines athletic eligibility based onestablished rules and regulations.
- Conducts degree audits to ensure students meet all requirementsand prepares IGETC and GE certifications; researches and correctsdegree audit discrepancies based on established guidelines; assistswith grade intake at semester end.
- Reviews final grades and verifies completion of final semestercourses.
- Prepares correspondence to students on graduation and degreerequirements, evaluation status, additional required documentation,and other evaluation-related issues; processes applications forgraduation and assists with determination of eligibility forgraduation based on approved curriculum.
- Maintains a variety of standard office and specialized recordsand files; creates and maintains spreadsheets and databases totrack petitions, electronic and paper files, activities andservices.
- Maintains all student supporting documentation to meetretention and audit requirements; maintains and ensures theconfidentiality of all student documents and records in accordancewith the Family Educational Rights and Privacy Act and establisheddistrict policies and procedures.
- Stays current on federal and state law and regulationsapplicable to the evaluation of academic records by attending andparticipating in workshops, meetings, regional conferences andtraining; attends districtwide meetings and training.
- Demonstrates sensitivity to and understanding of historicallyminoritized groups and participates in professional developmentactivities to increase cultural competency to enhance equity-mindedpractices within the District.
OTHER DUTIES
- Provides backup for other Admissions and Records staff.
- Assists at graduation ceremonies by preparing graduation listsand diplomas/certificates; prepares and distributes reader cards,regalia, and other ceremony activities. Interacts with otherdepartments and with state and federal programs on behalf of thedepartment, program or a student.
- Performs related duties as assigned.

EDUCATION AND EXPERIENCE
An associate degree and at least two years of progressivelyresponsible experience in academic records, counseling, advising or matriculation services in a higher education institution; or anequivalent combination of training and experience.
LICENSES, CERTIFICATES AND OTHERREQUIREMENTS
Certain assignments may require a valid California driver's licenseand the ability to maintain insurability under the District'svehicle insurance program.
