Position Overview

The Clinical Scheduling Coordinator is responsible for providing high-level customer service via patient scheduling through the Customer Care Center. The role involves creating a positive first impression and ensuring a quality patient journey experience. Duties include answering inbound calls, scheduling hearing care appointments across our clinic network, and addressing customer concerns. The coordinator must work well as part of a team, be open-minded to ideas and feedback, and contribute to a collaborative environment.

This position will be 89 days.

You Will
  • Provide personalized customer service with an emphasis on scheduling appointments.
  • Answer inbound calls and assist patients with inquiries.
  • Communicate the benefits of seeking provider care.
  • Practice active listening to better serve patients.
  • Stay updated on hearing profession aspects and gather patient information for marketing.
  • Manage difficult patient situations with sound judgment and respond promptly.
  • Identify opportunities for improvement and promote best practices.
  • Update patient management software with call notes and status updates.
Performance Measures
  • Deliver a quality Patient Journey Experience over the phone.
  • Maintain at least an 85% appointment conversion rate.
  • Complete training on patient management software.
  • Maintain professionalism in challenging interactions.
  • Ensure data accuracy in the patient management system.
  • Use wrap-up time efficiently after each call.
Minimum Requirements
  • High School diploma or equivalent.
  • Previous call center experience preferred.
  • Office/Administrative experience preferred.
Knowledge, Skills & Abilities
  • Proficiency in Microsoft Office, including Outlook and Excel.
  • Familiarity with search tools, browsers, and email.
  • Knowledge of Microsoft Dynamics CRM.
  • Organizational and multitasking skills.
  • Problem-solving, communication, and interpersonal skills.
  • Friendly, positive attitude and team player.
  • Ability to follow instructions and demonstrate professionalism.
  • Excellent verbal and written communication skills.
  • High motivation and initiative.

The target pay range is $16.29 to $21.00 per hour, influenced by factors such as location, skills, education, and experience.
