Temporary Administrative Assistant- Coastal State PSATC

Temporary role lasting up to 3 months.

Location

Coastal State Probation, 200 Gulfstream Rd Garden City, GA 31418.

Work Schedule

Monday through Thursday. Choose between 6:30am-5:00pm or 7:00am-5:30pm.

Job Responsibilities
  • Compose and type a variety of materials and documents, including correspondence, memos, forms, tables, records and charts from rough drafts, general directions, or dictation using standard computer word processing, database and spreadsheet applications. Proofread and edit final draft materials for accuracy, consistency and clarity.
  • Compile data from a variety of sources such as logs, lists, invoices and treatment records, and prepare regular summary reports for supervisors to monitor and track income, expenses and contract compliance.
  • Administer or process routine financial transactions such as petty cash, bank deposits, receipts, ledgers, client personal funds and pass money.
  • Assist in processing billings by logging and coding treatments and services, recording treatment hours, or entering required information into records and databases as needed.
  • Maintain record‑keeping and filing systems, including records related to clients, personnel, payroll, attendance, work and purchase orders.
  • Complete requisitions for approved office supplies and standard department/center inventory as requested. Accept receipts and invoices for non‑routine expenditures, and obtain necessary authorisations for payment.
  • Schedule meetings and appointments. Make routine travel and conference arrangements as directed.
  • Serve as an administrative liaison between assigned program or department and central offices and services by gathering and exchanging information related to operational, budget, payroll or personnel issues and procedures.
  • Receive and screen visitors and telephone calls, and notify appropriate personnel or record messages.
  • Perform a variety of general office and administrative duties such as photocopying and assembling documents, sorting and distributing mail and faxes, storing office supplies, processing time cards for payroll, recording and typing meeting minutes, and so forth.
  • Depending on the area assigned, provide client services such as assisting clients with completing forms and applications for insurance or public assistance, verifying treatment funding source or insurance coverage, maintaining case files, and scheduling appointments.
Job Requirements
  • Education/experience/certifications/licensure that meet contractual requirements.
  • High School Diploma or GED.
  • One (1) year of administrative, clerical or office operations experience.
Physical Requirements
  • Ability to communicate with others to gather and exchange information.
  • Ability to respond to telephone inquiries, continually proofread, check and verify data from printed form and computer monitor display.
  • Ability to use a keyboard and video display terminal to enter, retrieve, and/or audit information and data on a continual basis.
  • Ability to pull, lift and transport files and documents to and from various locations within office or assigned location.
