Job Description

Summary: Provide administrative support for assigned functions, and for other components of the ECOG-ACRIN Medical Research Foundation and its related entities as directed by the Deputy Executive Director. This is a non-supervisory, non-exempt position.

Note: Position is currently hybrid - with 1-2 days/week in our office.

Experience & Job Requirements
  • At least one (1) year of experience providing executive-level administrative support.
  • Experience with scheduling web-based and face-to-face meetings, preparing scientific minutes, creating PowerPoint presentations, scheduling travel, and maintaining an executive’s calendar. Proficiency in MS Word, PowerPoint, and Excel required.
  • Experience with medical terminology preferred.
  • Limited travel may be required.
Education
  • A Bachelor’s or Associate's degree from an accredited college or university is preferred. Candidates with relevant administrative work experience will also be considered.
Responsibilities
  • Maintain Deputy Executive Director’s calendars; schedule and confirm appointments.
  • Prepare agendas and materials for meetings.
  • Schedule calls, distribute Outlook invitations, coordinate webcast meetings.
  • Prepare and distribute meeting minutes.
  • Prepare PowerPoint slides.
  • Coordinate and schedule travel arrangements.
  • Prepare expense reports.
  • Draft and compose routine correspondence.
  • Handle administrative projects for assigned functions.
  • Prepare miscellaneous reports and correspondence.
  • Prepare mailing and shipping labels.
  • Maintain files for assigned functions.
  • Provide administrative support to staff of other ECOG-ACRIN functions as directed.
  • Assist in preparation and attendance at key meetings.
  • Participate in follow-up activities with contacts from key meetings.
  • Perform other miscellaneous duties as assigned.
