HomeFirst is seeking a Temporary Shift Supervisor for Site 1 (OWL) in San Jose. The role oversees overnight shelter operations, supervises Resident Advocates and Coordinators, and ensures program compliance and safety.

The candidate will utilize de-escalation, trauma-informed care, and crisis intervention as needed to support unhoused individuals. The position requires staff supervision, scheduling, and administrative support, with a strong emphasis on empathy, documentation, and collaboration

Responsibilities

  • Direct Client Service (90%) – ensure service delivery standards and supervise participants, guests, and staff.
  • Review and approve schedules, PTO, and timecards.
  • Assist with interviewing, recruiting, and onboarding staff.
  • Ensure minimum staffing per shift is met and maintain site safety.
  • Complete and file paperwork in a timely manner and maintain confidentiality.
  • Respond to emergencies with de-escalation and crisis intervention as applicable.
  • Maintain inventory of supplies and restock as needed.
  • Represent HomeFirst professionally to volunteers, donors, and partners.

The Shift Supervisor is responsible for the overall day-to-day Emergency Shelter operations and supervision of Resident Advocates/Resident Coordinators. They ensure program compliance and service delivery standards are met while fostering a safe and welcoming environment. They also ensure participant, staff and guest safety through regular check-ins and monitoring of the site grounds and shelter floor.Ideal candidates are knowledgeable and sensitive to the needs of our unhoused populations. To that end, the Shift Supervisor cultivates a connected and mutually supportive team.REPORTING RELATIONSHIPSThe position reports to the Program Manager.PRIMARY RESPONSIBILTIESDirect Client Service (90%)Works collaboratively with Program Manager to ensure service delivery standards are metResponsible for the care, safety, Security and supervision of program participants, guests, and staffSupports and oversees basic safety and security for participant, guests and staffImplement and enforce shelter guidelines and site rules for program participantsAssist with administrative duties to support the Program Manager, including referrals and intakes, preparing reports, creating schedules, and securing coverageReview and approve schedules, PTO requests and timecardsAssist with interviewing, recruiting, and onboarding staffEnsure the minimum staffing requirements per shift are metParticipate in staff progressive discipline including development of Corrective Action PlansEnsure incident reports are accurate and submitted in a timely mannerWelcome guests to the facility, including program participants, volunteers, staff, and community members, as applicable per siteEnsure all services are documented into HMIS within 3 business days by Resident Advocate and Resident Coordinator staffProvide supervision, job coaching, training, and support to staffMeet with each staff individually on a regular basisEnsure rooms are booked and cleaned for workshop providersMake timely and appropriate decisions in emergency situations, including awareness of the need for safety of all participants involved, mandated reporting, and contacting appropriate staff/responding agenciesRespond to guest crises using de-escalation and Mental Health First Aid techniques as applicableAdhere to HomeFirst’s service delivery practices, including Trauma Informed Care, client- centered practice, and Crisis Prevention Intervention modelComplete and submit Behavioral Contracts, and Violation notices as neededEnsure food, clothing, linens, toiletries, and any other items supplied by the program are in stock and accessibleRestock program supplies and submit supply order request in a timely mannerEnsure each program participant sleeping space in in compliance with shelter rules and guidelinesSupervise general site clean-up, reporting any maintenance or janitorial needs to appropriate contact, ensure emergency work is completedEnsure site and perimeter checks are completedEnsure set-up and break-down for any special events or activitiesComplete and file all paperwork in a timely mannerMaintain professional conduct, attitude, and appearanceCommunicate to and delegate tasks to next shift Supervisor or ManagerMaintain confidentiality regarding clients, personnel, and other internal agency affairsConduct business according with employee handbook, exercising judgement and serving the best interests of the agency and communityMaintain compliance with agency/shelter site policies and proceduresProvide socialization skills- empathetic listening, problem solving, information and referral, mediation, crisis interventionCommitted to treat each program participant and guest with respect and dignityDemonstrated conflict resolution skillsGeneral (10%)Represent HomeFirst and the program appropriately to volunteers, donors, outside agencies and the publicAssist with office-related tasks as neededAttend all mandatory meetings, workshops, and trainingsPerform other general duties as assignedSkills, Abilities, and knowledge:Proven ability to develop client service or housing plansAbility to work with people of diverse social backgrounds, strong interpersonal skillsStrong written and oral communication skillsWorking knowledge of Microsoft applications, email, and the internet, and able to learn data entry using web-based database systemsHigh level of flexibility and ability to prioritize appropriatelyWork effectively within a teamStrong sense of accountabilityStrong customer service skillsAbility to multitask efficientlyAdvocacy and case management skillsKnowledge of local social service resources/providersEffective problem-solving skillsDemonstrate strong leadership skillsExcellent organizational skills and ability to complete tasksReliable; excellent punctuality and attendance for scheduled work shiftsAbility to work flexible hours, especially nights, weekends, and overnights.
