Distinguishing Features of the Class

The work involves operating a computerized telephone system at the Erie County Medical Center Corporation. The incumbent performs routine work, relaying incoming, outgoing and inter-office calls. The extent of duties varies with the type of communication system in use. Work is performed under the general supervision of a higher level employee in accordance with established procedures. Does related work as required.

Typical Work Activities
  1. Operates a computerized telephone system;
  2. Staffs lobby reception desk; greets visitors and directs them to appropriate staff member, department/section and initiates a routing slip when required;
  3. Directs patients to their destination;
  4. Relays incoming, outgoing and inter-office telephone calls;
  5. Makes long distance calls; maintains log of international calls;
  6. Operates public address system, paging system or other communication systems;
  7. Maintains log of healthcare emergency codes;
  8. Consults emergency contact information;
  9. Provides reports of calls and codes;
  10. Uses Meditech to locate patients;
  11. Enters information into patient transport system;
  12. Prepares daily spreadsheet of services and on-call physicians;
  13. Sends faxes;
  14. Assists with providing information and documentation to the public;
  15. Provides pagers and language phone and maintains record of distribution;
  16. Maintains a current directory of personnel, patients or frequently used numbers;
  17. Stamps, sorts and posts outgoing and incoming mail;
  18. Assists with routine clerical duties when volume of calls permit.
If Assigned to the Skilled Nursing Facility
  1. Monitors closed-circuit television and alerts security or other appropriate staff to possible problems;
  2. Responds to, announces and alerts security or other staff of wandering residents, fire, alarms, etc;
  3. Accepts package deliveries during non-business hours;
  4. Sorts incoming mail on Saturdays, gives mail to pre-approved residents;
  5. Provides general information regarding facility programs and events.
Full Performance Knowledge, Skills, Abilities and Personal Characteristics

Good knowledge of the operation of a computerized telephone system and proper techniques of placing and receiving telephone calls; good knowledge of organization and functions of the department assigned to; working knowledge of office terminology, procedures and equipment; working knowledge of hospital codes; ability to speak clearly and distinctly in a well modulated and pleasant voice and to use correct grammatical construction and choice of words; ability to maintain simple clerical records neatly and accurately; ability to use computer keyboard and business office systems; ability to understand and follow simple oral and written instructions; ability to get along well with others; tact; courtesy; neat appearance; initiative; resourcefulness; independent decision making; physically capable of performing the essential functions of the position with or without reasonable accommodation.

Minimum Qualifications
  1. A) Graduation from high school or possession of a high school equivalency diploma and one (1) year of office clerical experience involving responsibility for answering a telephone, taking messages and similar duties; or:
  2. B) Three (3) years experience as a telephone operator, switchboard operator of office clerical experience involving responsibility for answering a telephone, taking messages and similar duties; or:
  3. C) An equivalent combination of training and experience as defined by the limits of (A) and (B).

NOTE: Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full-time experience requirements.
