VR Systems, Inc. is a 100% employee-owned business, and our company culture is family-like. We are the leading voter registration and elections management company in Florida and have a growing market share in other states. We are a fast-growing company of nearly 50 people, forming a closely knit team of software engineers and customer support technicians. The company has a reputation for providing effective software with a high level of customer service for elections administrators. We are not a publicly traded company, and as such, we are not beholden to the demands of outside shareholders or investors; we make decisions that are in the best interest of our customers and our employees. We are not a start-up company that could close shop if the next round of venture capital does not come through. We are also not a large corporation or government agency with burdensome bureaucracy. What we are is a small- to mid-sized company, and that smaller size allows us to be nimble and to make quick, agile adjustments in a constantly evolving IT field.
Responsibilities
- Write, format, maintain, and distribute software Help systems and user guides in HTML and PDF formats
- Review existing source materials and documentation logs
- Practice using the different VR Systems software so you become accustomed to seeing things from the users’ perspective
- Collaborate with development and support staff to identify any additional new documentation requirements or documentation improvement opportunities
- Participate and contribute ideas in product development meetings where user experience is under discussion
- Leverage AI tools responsibly to accelerate documentation workflows (e.g., first-draft generation, terminology checks, style normalization, alt-text drafting), while ensuring human review for accuracy and compliance
- Establish and document best practices and guardrails for AI-assisted writing in a regulated context (prompt patterns, review checklists, data-handling rules, and citation/attribution practices)
- Evaluate and pilot new AI capabilities (summarization, content diffing, taxonomy suggestions) and measure impact on documentation quality and cycle time
- Stay abreast of developments in tools and communication methods used by the technical communications community
- Recommend changes in the tools, communication formats, and methods used at VR Systems when appropriate
- Provide input on the structure, format, and delivery of content in the VR User Community
- Assist in maintaining the User Community
- Provide editorial and formatting support to staff
Qualifications
- A bachelor’s degree in a related technical or communications field from an accredited college
- Two+ (2) years of professional experience with technical writing or communications
- Clean criminal background/record
- Previous experience and working knowledge using MadCap Flare or another technical documentation/content management software
- Hands-on experience using AI to produce technical documentation—including drafting, refactoring, and validating content—while maintaining factual accuracy, consistent voice, and source traceability
- Demonstrated understanding of AI guardrails (e.g., privacy, confidentiality, prompt hygiene, non-public data handling) and a track record of using AI within documented review workflows
- Excellent working knowledge of Microsoft Word
- Experience with common screen capture software
- Very strong communications skills (both written and verbal)
- Experience with Scrum/Agile methodologies is preferred
- Availability to work 8:30am – 5:30pm Eastern time (although there may be some flexibility when working on projects)
- A moderate understanding of Microsoft Excel and PowerPoint
- Experience with HTML and/or CSS is preferred
- Experience with graphic editing software is preferred
- Familiarity with evaluation of AI outputs (hallucination checks, regression checks, red-team prompts)
