Position Overview
At Hawaii Stage, the Technical Project Manager plays a central role in planning, coordinating, and executing events of all sizes across the islands. This position is responsible for ensuring that each event runs smoothly from concept through completion, balancing creative vision with technical precision, budget control, and operational logistics. You’ll oversee timelines, vendor and crew coordination, and technical execution—serving as the key point of contact for clients, internal teams, and venue partners. Reporting to the Chief Operating Officer, this role is vital to delivering exceptional experiences with the aloha spirit.
Key Job Responsibilities
Event Project Management:
- Develop and communicate detailed event scopes, technical plans, labor schedules, and vendor requirements.
- Collaborate with Sales, Operations, and Event Services teams to determine and secure the resources needed to bring each event to life.
- Attend client meetings and act as a technical advisor, ensuring project details align with client expectations and Hawaii Stage standards.
- Monitor project status throughout the lifecycle and proactively manage adjustments to timelines, labor, or equipment needs.
- Review sales documents to confirm technical accuracy and feasibility.
- Assist with equipment planning and technical drawings; ensure all plans are clear and actionable.
- Maintain strong client relationships with a focus on trust, responsiveness, and long-term partnership.
- Ensure all health and safety documentation (including Risk Assessments and Method Statements) is prepared, communicated, and enforced.
Onsite Event Execution:
- Serve as the lead on-site representative for the client, crew, and venue team during all phases of the event.
- Manage the full production timeline—from load-in and setup to showtime and strike.
- Oversee inventory, labor teams, and any last-minute changes with calm, confident leadership.
- Guide team members, share best practices, and help develop technical talent locally.
- Ensure all Hawaii Stage and industry safety and production standards are upheld.
- Conduct client follow-ups during and after events to confirm satisfaction and resolve any concerns.
- Support the creation and tracking of event budgets, working to stay within approved costs.
- Manage labor and rental expenses, ensuring timely reporting of changes to billing and invoicing teams.
- Assist in vendor payment processing and reconciliation post-event.
- Uphold company policies to minimize liability and ensure the secure handling of company assets.
Administrative & Operational Duties:
- Complete all post-event reporting, including labor records, rental returns, and client follow-up.
- Participate in refining SOPs and improving project management workflows.
- Assist with event reviews and lessons learned to improve future performance.
Requirements
- 4+ years of experience in corporate AV/event production
- 1+ year of supervisory or crew leadership experience preferred
- Solid technical knowledge of event production equipment and workflows
- Proven ability to manage multiple projects under tight deadlines
- Exceptional communication and client relationship skills
- Proficient in Microsoft Office Suite; experience with Vectorworks or similar tools a plus
- Strong understanding of event budgeting and financial controls
- Ability to travel between islands as needed (up to 50%)
- Strong problem-solving and organizational skills
