The Group Practice Administrator provides advanced administrative support to each Group Practice Leader and to the students in each Group Practice. The Group Practice Administrator reports directly to the Group Practice Leader. The individual must exercise initiative, independent judgement and discretion in arranging meetings and maintaining appointment schedules, tracking patient and student concerns, disposing of requests for information, generate reports that aid in the management of patient and student progress and participation in working groups and committees. The Group Practice Administrator will meet periodically, or as needed, with each student in the group to review their patient records and discuss clinical progress. Individual must be comfortable working in a dynamic customer service driven environment interacting with students, faculty, patients, staff including liaising with Practice Managers and Patient Coordinators on behalf of the Group Practice Leaders. Individual must be proficient in Microsoft Office.

Required Skills

Bachelor's Degree required and 3-5 years of work experience.

Responsibilities

Tracking 80 students' clinical progress and, in collaboration with the GPL, assigning and/or transferring patients to students as needed. Assist the students within their group with addressing patient concerns related to treatment, finances, insurance, and billing errors/disputes. This includes managing and scheduling special patients in Salud, special appointments (surgeries, implants), coordinating emergency patients, and send return to treatment/ hard to contact/missed appointments communications to patients. Monitoring the progress of all patient treatment so that patient treatment is completed in a timely fashion. Responsible to ensure the patients (1,600) per group practice are being treated in a timely fashion. This requires continuous and proactive collaboration with the GPL and Students.

Performs all daily administrative tasks for the assigned group including, but not limited to, responding to emails, returning phone calls from patients, scheduling meetings with students, scheduling GPL-Student meetings. Act as the primary liaison between the students and the GPL and patients when needed triaging questions and concerns and making sure they are addressed in a timely fashion. Supervises all aspects of the assigned Group Practice operations.

Meeting with each student in the assigned group to do Periodic Reviews of their entire patient roster according to a calibrated template to be followed by all Group Practice Administrators. Following these reviews a meeting to be scheduled with the GPL to meet with the student to re view selected records. Maintain the groups schedule. Record milestones as set by the Group practice/ Department in order to guarantee fulfillment of their requirements as established by Chair/Program director. C

Coordinate meeting spaces and preparing presentations for monthly group meetings, workshops, orientations as well as any Group Practice related special projects. Preparing monthly reports for group practice management. Responsible for recording and maintaining meeting minutes. Collects and prepares final grades for Group Practice & Leadership. Assists GPL with yearly sign out process.

Other duties and assignment of work in support of the clinic operations, and patient care services, as needed.
