Job summary

Ascend is seeking a Tax Scheduling & Planning Manager at our Pasadena, CA hybrid office, supporting Lucas Horsfall’s tax department. You will lead staffing, optimize scheduling across engagements, and drive workflows for peak periods and year-round work.

The role combines hands-on leadership with strategic planning to meet deadlines and improve efficiency. The pay range is $80,000–$120,000 per year, with discretionary bonus potential and comprehensive benefits.

Qualifications

• Bachelor's degree in Business Administration, Accounting, or related field.
• 5+ years of experience in operations, scheduling, or practice management.
• Experience managing projects and complex scheduling systems.
• Proficiency in scheduling/practice management software and MS Office/Excel.
• Ability to manage deadlines under pressure.

Responsibilities

• Develop and manage the master scheduling system for tax preparers, reviewers, and staff.
• Coordinate staffing across engagements and offices.
• Allocate client engagements based on staff capacity and certification levels.
• Monitor real-time workload distribution and rebalance assignments.
• Lead weekly staffing calls and ensure updates are reflected in systems.
• Design and refine departmental workflows for document intake and e-filing across offices.
• Track metrics like turnaround time and on-time filing rates to identify bottlenecks.
• Coordinate resource allocation with Tax Professionals and Directors/Partners.
• Prepare regular operational and utilization reports for department leadership.
• Ensure scheduling practices align with firm policies and labor regulations.
