Job summary

Hope Staffing L.L.C. is seeking a Workflow Manager to oversee production across tax, bookkeeping, and related services. The role focuses on maintaining visibility into engagements, assigning staff duties, and ensuring deadlines and budgets are met.

You will lead process improvements, implement controls, and coordinate with IT and automation tools to streamline operations. You will supervise administrative staff, support onboarding, and drive consistent client experiences while reporting to firm

Qualifications

• Oversee workflow across tax preparation, bookkeeping, tax resolution, and notice response work.
• Monitor active client engagements: status, staff, deadlines, budgets, and billing.
• Assign and update internal dates, milestones, and responsibilities.
• Coordinate with leadership to balance workloads and reassign work as needed.
• Track output against deadlines, budgets, and client expectations.
• Identify bottlenecks and propose solutions before deadlines arrive.
• Lead regular workflow meetings with staff and leadership.
• Prepare weekly/seasonal production reports for partners and managers.
• Help develop workflow checklists, routing rules, and deadline tracking.

Responsibilities

• Oversee new client onboarding from acceptance to setup in firm systems.
• Ensure engagement letters, client information, and billing arrangements are set.
• Coordinate annual tax season prep, organizer distribution, and document requests.
• Monitor missing information and ensure timely follow-up.
• Support client communications with standard templates and status updates.
• Maintain a consistent and professional client experience across service lines.
