Job description

SUMMARY

The Tax Claim Office Manager's daily tasks include distributing and processing delinquent tax payments, generating receipts, and updating records in the tax claim software. They are responsible for managing all incoming mail in the tax claim department and ensuring its proper distribution to the clerks for disposition. Under the direction of the Assistant Director or Second Deputy, they will ensure that their work and that of the clerks conform to the day's priorities. The office manager will review and verify batch totals at the end of each day and handle online bank deposits for the Bureau. They will also review the tax claim software to identify defaulted agreements and process lien satisfactions. Additionally, they oversee incoming surplus fund requests, distribute refund checks, and handle sale file copy requests. They assist in developing and documenting tax sale files and participate in the preparation of sale information, sale processing, and deed preparation as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Process delinquent tax payments and tax certifications.
  • Oversee the distribution of refund checks and sale distribution checks.
  • Manage, sort, and distribute all incoming mail.
  • Review and track yearly agreements for compliance.
  • Communicate effectively with delinquent taxpayers and constituents.
  • Explain costs associated with RETSL and MCTLA programs.
  • Review and process unclaimed surplus requests.
  • Track and sort undeliverable mailings, postings, and services.
  • Maintain and organize sale files; perform photocopying as needed.
  • Create post-sale deeds and statements of value for processing.
  • Maintain a professional, customer service-oriented approach at all times.
  • Identify paid tax claim liens and process satisfaction documentation.
  • Coordinate daily office operations for efficiency and productivity.
  • Perform other duties as assigned to support department operations.
