Job Details

New ideas are all around us, but only a few will change the world. That’s our focus at JPL. We ask the biggest questions, then search the universe for answers—literally. We build upon ideas that have guided generations, then share our discoveries to inspire generations to come. Your mission—your opportunity—is to seek out the answers that bring us one step closer. If you’re driven to discover, create, and inspire something that lasts a lifetime and beyond, you’re ready for JPL. Located in Pasadena, California, JPL has a campus-like environment situated on 177 acres in the foothills of the San Gabriel Mountains and offers a work environment unlike any other: we inspire passion, foster innovation, build collaboration, and reward excellence.

Role Overview

As an Academic Part Time Intern, you will be a member of the Task Order Management Team and will report to the Manager, Task Order Management.

Responsibilities

The Task Order Management (TOM) team oversees the documentation, compliance tracking, and administrative processes that support effective task order execution. This work depends on accurate records, timely monitoring of funding and performance periods, and the use of tools and technology that improve team visibility and efficiency. This internship supports those efforts by helping maintain core documentation, strengthening tracking mechanisms, and contributing to improvements in TOM workflows. The intern will assist in organizing contract documentation, monitoring key deadlines, and supporting the development of technology‑enabled enhancements—including early exploration of AI tools—to streamline routine processes. Through this role, the intern will gain hands‑on experience in contract administration, process discipline, data organization, workflow automation, and operational decision support. The position offers opportunities to produce meaningful work products such as updated documentation sets, audit summaries, status reports, and prototype concepts for technology‑supported process improvements.

Tasks include but are not limited to:

  • Supporting documentation management and administrative workflows
  • Uploading Task Plans (TPs), concurrences, agreements, and related materials into Suite
  • Organizing, updating, and maintaining Contract Management Instructions (CMIs) to reflect current processes
  • Keeping the Contract Administration Plan (CAP) current and aligned with evolving requirements
  • Conducting audits of the TP Tracker to ensure information accuracy and completeness, and summarizing findings
  • Tracking Purchase Requests (PRs) and maintaining up‑to‑date PR statuses
  • Updating the Priority Tracker with task progress and workload information to support planning
  • Assisting with deliverable tracking, compliance activities, and deadline monitoring
  • Working with Contracts Managers to track deliverables and request outstanding items from project teams
  • Monitoring Anticipated Exhaustion of Funds (AEF) dates and helping prepare notification letters
  • Tracking Period of Performance (PoP) end dates on task orders and alerting the TOM team of upcoming deadlines
  • Drafting No Cost Extension (NCE) and AEF letters for TOM review
  • Contributing to process improvement and technology‑focused initiatives
  • Identifying opportunities to introduce AI or automation tools that support document organization, summarization, tracking, and other workflows
  • Assisting with the testing, evaluation, and documentation of new automation processes or AI‑enabled concepts
  • Providing recommendations—supported by observations or prototype examples, for enhancing efficiency and reducing manual workload across TOM activities
Qualifications
  • Must be currently enrolled at least half-time at an accredited college or university pursuing a Bachelor’s in Business, Engineering, Computer Science, Data Analytics, Information Systems, or a related field
  • Must be able to work a minimum of 20 hours per week, with a maximum of 30 hours per week while in school.
  • Proficiency in the Microsoft Office Suite – Excel, Word, PowerPoint, and Outlook
  • Strong analytical and problem-solving skills, with the ability to work with and interpret data.
  • Strong written and verbal communication skills and ability to work in a team environment.
  • Must have a Minimum GPA of 3.0/4.0.
Preferred Skills
  • Completed coursework with exposure to business communications principles and database/spreadsheet techniques.
  • Prior internship experience in related business areas.
  • Ability to quickly learn and apply subcontracting principles in a high‑volume environment.
  • Participation in student organizations.
  • Intermediate to advanced proficiency in MS Excel, Word, and PowerPoint.
  • Ability to interface effectively with all levels of personnel and assist in resolving multifaceted issues.
  • Punctual, detail-oriented, resourceful, and self‑motivated.
