Position Summary
The Tank Operations Coordinator provides administrative support for the tank operations department by maintaining accurate equipment records, coordinating schedules, processing documentation, and assisting with customer requests. This position serves as the primary administrative liaison between Operations, Sales, Billing, Dispatch, and customers to ensure the timely delivery, relocation, service, and pickup of tanks, pumps, and related equipment.
The role focuses on organization, communication, documentation, and data accuracy while supporting the Tank Administrator and Operations team.
Administrative Support
- Maintain accurate records of tanks, pumps, monitors, and fuel management equipment.
- Process work orders for equipment deliveries, pickups, relocations, and exchanges.
- Enter and maintain equipment information within company software systems.
- Organize electronic and paper files for tank installations and service history.
Scheduling & Coordination
- Coordinate daily schedules for tank deliveries, pickups, and service calls.
- Communicate scheduling changes with customers and internal departments.
- Assist in coordinating installation crews and transportation resources.
Inventory Support
- Update inventory records as equipment is received, deployed, or returned.
- Assist with periodic inventory counts and reconciliation.
- Report inventory discrepancies to the Tank Administrator.
Customer Service
- Respond to customer inquiries regarding tank deliveries, pickups, service requests, and equipment availability.
- Provide updates regarding scheduled work and project status.
- Escalate operational issues to the Tank Administrator or Operations Manager when necessary.
- Verify completed work orders.
- Ensure required documentation is complete prior to billing.
- Assist Accounting with documentation needed for invoicing.
Fuel Management Support
- Assist with maintaining records for monitoring equipment and fuel management systems.
- Coordinate installation paperwork and activation requests.
- Track monitor installations, removals, and replacements.
General Office Support
- Prepare reports and spreadsheets.
- Assist with data entry projects.
- Perform other administrative duties as assigned.
Qualifications
- High School Diploma or GED required.
- 1-3 years of administrative, dispatch, customer service, or logistics experience preferred.
- Experience in transportation, fuel distribution, construction, or industrial services is a plus.
- ERP experience (NetSuite preferred but not required).
- Excellent organizational and communication skills.
- Ability to prioritize multiple tasks in a fast‑paced environment.
