Job summary

Hiya is seeking a Talent Operations Specialist to own the operational backbone of recruiting, focusing on Global University Recruiting and end-to-end interview coordination. You will act as an Ashby power-user, shaping workflows, data integrity, and AI-enabled improvements while partnering with stakeholders across the business.

Qualifications

• 4+ years of experience in recruiting operations, recruiting coordination, or talent program management.
• Hands-on Ashby expertise, including building and scaling ATS workflows, templates, and configurations.
• Experience managing complex, multi-stakeholder interview scheduling and logistics across time zones.
• Experience planning university or campus recruiting programs and events with occasional travel.
• Comfort using recruiting data and analytics to identify trends and drive process improvements.
• Strong project management skills to own a special project from scope to completion.
• Advanced proficiency using AI tools to improve recruiting workflows and scheduling.

Responsibilities

• Own end-to-end Global University Recruiting program planning, partnerships, internships, and events; travel may be required.
• Schedule and coordinate interviews across multiple stakeholders and time zones with high accuracy.
• Serve as Ashby expert, manage workflows, data integrity, and reporting; explore AI-assisted tools.
• Ensure a positive candidate experience from first contact to final offer with timely feedback.
• Collaborate with hiring managers and departments to align on process and timelines.
• Leverage metrics and AI analytics to track program performance and identify bottlenecks.
• Lead special recruiting projects such as employer branding initiatives and process improvements.
