Job summary

MIT Lincoln Laboratory is seeking a Talent Management Program Administrator in Lexington, MA. The position ensures on-schedule delivery, effective communications, and engagement of stakeholders while supporting leadership priorities and continuous process improvement.

Qualifications

  • Associate degree or higher with relevant experience or a bachelor’s with relevant experience.
  • Demonstrated experience coordinating or leading complex projects in a fast-paced environment.
  • Strong organizational, planning, prioritization, and problem-solving skills with attention to detail.
  • Excellent written, verbal, and interpersonal communication skills with stakeholders at all levels.
  • Experience preparing clear reports, presentations, and project documentation.
  • Proficiency with Microsoft Office, Teams, SharePoint, Zoom.

Responsibilities

  • Coordinate Talent Management initiatives from planning through implementation with project managers and sponsors.
  • Develop and maintain project plans, timelines, milestones, logs, checklists and status reports.
  • Monitor deliverables, risks, and follow-up actions to ensure successful execution.
  • Prepare executive-ready agendas, presentations, and reports for leadership.
  • Plan and facilitate meetings, workshops, and events supporting Talent Management.
  • Analyze feedback and performance data to identify trends and improvements.

Overview

The HR Talent Management Program Administrator provides program management, operational coordination, and analytical support for strategic Talent Management initiatives. This role partners closely with the HR Deputy Director, Talent Management team and others, to plan, execute, and monitor high-impact projects that advance HR and organizational priorities. The position ensures projects are delivered on schedule, communications are coordinated effectively, and stakeholders remain informed and engaged. The Administrator also serves as a trusted operational partner to the HR Deputy director and Program Managers by supporting executive priorities, employee engagement efforts, and continuous process improvement.

Primary Responsibilities

Project Management (70%)

  • Coordinate and administer Talent Management initiatives from planning through implementation in partnership with project managers, operational analysts, and executive sponsors.
  • Develop and maintain project plans, timelines, milestones, action logs, implementation checklists, and status reports.
  • Monitor project deliverables, dependencies, risks, and follow-up actions to support successful execution.
  • Prepare executive-ready meeting agendas, presentations, reports, and project documentation.
  • Plan, coordinate, and facilitate meetings, workshops, and single- or multi-day events supporting Talent Management and organizational change initiatives.
  • Analyze program feedback and performance data to identify trends, recommend enhancements, and improve program effectiveness.
  • Continuously evaluate processes and recommend improvements that increase efficiency and effectiveness.
  • Collaborate across HR and others to ensure successful delivery of project efforts.

Executive & Operational Support to the HR Deputy Director (30%)

  • Coordinate special projects and strategic initiatives on behalf of HR senior leadership.
  • Support employee engagement and leadership communication efforts, including two-way communication forums, focus groups, and feedback tracking with the HR Deputy Director in support of the Laboratory Director
  • Manage complex calendars, meeting logistics, agendas, and follow-up actions for key HR initiatives.
  • Coordinate communications with employees, administrators, and external partners related to strategic HR programs.
  • Serve as the primary HR liaison for assigned project initiatives.
  • Prepare reports, dashboards, and presentations for leadership decision-making and internal communications.
  • Maintain HR systems and documentation while ensuring confidentiality of sensitive information.
  • Identify opportunities to improve HR operations, processes, and Talent Management programs.
Qualifications
  • Associate degree, technical degree, or professional certificate with at least four years of relevant experience; or a bachelor's degree with at least two years of relevant experience; or an equivalent combination of education and experience.
  • Demonstrated experience coordinating or leading complex projects in a fast-paced environment.
  • Strong organizational, planning, prioritization, and problem-solving skills with exceptional attention to detail.
  • Skilled in multitasking, taking initiative, and supporting multiple people and priorities while maintaining high service standards and responsiveness
  • Ability to work independently or collaboratively
  • Excellent written, verbal, and interpersonal communication skills with the ability to work effectively with stakeholders at all organizational levels.
  • Experience analyzing information and preparing clear, concise reports, presentations, and project documentation.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint), Microsoft Teams, SharePoint, Zoom, and similar collaboration tools.
  • Ability to handle confidential and sensitive information with sound judgment and professionalism.
  • Ability to obtain and maintain a Department of Defense (DoD) security clearance.
  • Ability to work on-site frequently.

Hiring Range: $65,000 - $86,200

Job Grade: ADM-IC2
