Responsibilities

  • Coordinate logistics for training programs, department initiatives, and onboarding sessions.
  • Schedule trainings, prepare materials, and set up spaces.
  • Maintain training records and program metrics.
  • Assist with New Employee Orientation and onboarding activities.
  • Coordinate leadership 360-degree feedback assessments and reporting.
  • Assist in engagement survey reports and insights for leadership.
  • Ensure smooth operation of talent development programs.
  • Organize logistics for Talent Development events, workshops, and staff engagement initiatives.
  • Develop and maintain registration tools for events.
  • Schedule and track department vehicle usage and travel arrangements.
  • Assist with purchasing, budgeting, and financial reconciliations.
  • Support Workday Talent system maintenance and data integrity.
  • Generate reports on program performance and attendance trends.
  • Assist student employees hiring, onboarding, scheduling, and supervision.
  • Handle special projects and occasional website/ department updates.

Talent Development Office Manager - part-time/28 hrs per week

The primary purpose of this position is to provide administrative and program coordination support to the Talent Development Department. This role ensures the smooth operation of department functions, training and organizational development programs and onboarding efforts. The position also manages logistical and operational aspects of training and wellness programs, provides database and reporting support, oversees purchasing and budgeting processes, and assists in the supervision of student employees. Additionally, this role provides ongoing support for the Workday Talent system and information, and coordinates department tools and assessments for feedback, leadership 360s, and performance review processes.

What you'll be doing in this position
Program Coordination
  • Coordinate logistics for training programs, department initiatives, and onboarding sessions.
  • Schedule training sessions, set up materials, and prepare meeting spaces.
  • Maintain and update training records, participation lists, and program metrics.
  • Assist in preparing for training sessions, workshops, and employee engagement activities.
  • Support the execution of New Employee Orientation, including maintaining swag materials and setting up for sessions.
  • Assist with DiSC and MBTI administration in coordination with leadership development workshops.
  • Coordinate leadership 360-degree feedback assessments, including scheduling, data collection, report generation, and follow-up communication.
  • Assist in generating engagement survey reports to assess trends and provide insights for leadership.
  • Ensure smooth operation of talent development programs.
Event and Department Coordination
  • Organize and manage logistics for Talent Development events, workshops, and employee engagement initiatives.
  • Develop and maintain registration tools for department events.
  • Schedule and track Talent Development vehicle usage.
  • Assist in hosting responsibilities, including purchasing, setup, catering, and materials preparation.
  • Coordinate department social events, such as student appreciation and team-building activities.
  • Assist in research and compiling information for program updates and reports.
Administrative Support
  • Manage front desk operations, department phone calls, and calendars.
  • Manage training room and department asset calendars.
  • Monitor and prepare the department’s monthly budget reconciliations.
  • Assist with department communication, including surveys, emails, and event invitations.
  • Maintain key audits and records for department functions.
Budget, Purchasing, & Travel Coordination
  • Process routine purchases and handle receipts for department needs.
  • Monitor monthly expenditures and resolve budget discrepancies with Financial Services.
  • Prepare budget transfers, journal entries, and adjustments.
  • Assist in reconciling wellness program expenses and training-related costs.
  • Arrange and track department travel, including flights, accommodations, and event registration.
  • Assist with processing travel arrangements for the team, including booking travel and accommodation.
Workday Talent System & Data Management
  • Assist with the maintenance and updates of the Workday Talent system.
  • Support employees and managers with system navigation and troubleshooting.
  • Ensure accurate data entry for training programs, surveys, assessments, and performance reviews.
  • Generate reports to evaluate program effectiveness and track participation trends.
  • Collaborate with the IT team to ensure smooth operation and integration of Workday Talent with other HR systems.
Student Employee Support
  • Assist in hiring, onboarding, and terminating student employees.
  • Manage student work schedules, track time, and oversee attendance.
  • Provide supervision and support for student employees in various department activities.
  • Plan and execute office culture initiatives, including department meetings and birthday recognitions.
  • Complete Workday processes as needed.
Other Duties as Assigned and Special Projects
  • Manage occasional projects for the department as needed.
  • Act as the Ring Central contact for Talent Development.
  • Make updates to department web pages.
  • Coordinate the project to update the department website.
What qualifies you for this role

Education/Experience Minimum Required: Three years of administrative, customer service, project coordination, or related experience.

Preferred: Associate’s degree or higher in a related field.

Experience with Workday Talent system.

Familiarity with employee engagement surveys, leadership 360-degree feedback tools, and performance review processes.

Experience with project management.

Experience with Brightspot or other website editing software.

Pay Grade: 48 Typical Starting Pay: $20.75-$27.00. The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
