Overview
You are the first impression of Operational Overhaul’s freelance ecosystem. This role goes beyond recruiting. This role is about spotting potential, curating aligned talent, and helping people grow. You’ll manage and refine our freelancer vetting process, ensure every candidate feels respected, and maintain high standards for acceptance into our network.
This is a contract position with the potential to transition into full-time as the company scales. Your work will also help us document insights and workflows. Our goal is to not only build a team but to also build a repeatable system and a community of excellence.
Core Responsibilities
Vetting & Evaluation
- Review freelancer applications as they come in.
- Evaluate resumes, portfolios, and video interviews with an eye for alignment, skill, and professionalism.
- Score freelancers using our internal rubric.
- Follow up with applicants for missing information or clarifications.
- Maintain organized notes and scoring data in our database (Notion/Airtable).
Sorting & Next Steps
- Accepted: Send onboarding form, ensure fields are complete (role, hourly range, skills, timezone, etc.).
- Waitlisted: Identify if due to quota limits or skills. Provide clear communication and resources when relevant.
- Rejected: Share constructive, respectful feedback with actionable suggestions for growth.
Talent Strategy & Pipeline
- Track quotas by role category (e.g., Designers, Copywriters, PMs).
- Recommend adjustments to application forms or interview questions.
- Identify gaps in our freelancer database (roles, skill sets, time zones).
- Coordinate with Outreach when we need to attract more applicants.
Knowledge Base (KB) Contributions
- Document recurring application issues, red flags, and review methods.
- Update SOPs for the vetting process.
- Create KB entries around “What We Look For” and “Ideal Candidate Profiles.”
Expectations & Success Markers
- Reviews submissions within 72 hours.
- Communicates clearly and promptly with applicants.
- Maintains organized records in Notion/Airtable.
- Sends onboarding materials and feedback messages on schedule.
- Contributes 1–2 KB articles per month to improve hiring workflows.
- Flags issues or improvement opportunities proactively.

- You’ve worked in recruiting, HR, or talent development.
- You’re familiar with tools like Notion, Airtable, or other low-code platforms.
- You understand remote work culture and what makes async teams effective.
- You’ve been a freelancer yourself and know what good onboarding feels like.

Compensation
This is a profit-sharing contract role. Instead of a fixed salary, 10% of company profits are shared among the team through a transparent points system. Contractors typically start at 2 points, with the opportunity to increase if converting to full-time.
Based on current projections:
- Year 1 starting estimate: $24K–$60K per role.
- Growth trajectory: Contracts are scaling monthly (100 in September → 1,600 by December), so upside grows quickly.
