Administrative Assistant Position
The role involves managing various administrative tasks to support the organization effectively. Responsibilities include:
- Answering main phone line: replying to inquiries, transferring calls, managing voicemails, and assisting callers with event registration.
- Communicating basic information about Central’s offerings: services, livestreaming, special events, classes, High Holidays, etc.
- Assisting the Executive Assistant to the Executive Director with projects as needed.
- Managing the email inbox: email@censyn.org.
- Maintaining office supply stock and organizing office/storage space.
- Contacting printing vendors and ordering stationery/envelopes as needed.
- Managing mail: maintaining postage on the mail machine, receiving/distributing incoming mail, and posting/sending outgoing mail.
- Supervising the office front entrance: checking cameras, admitting approved visitors, and asking unrecognized visitors to check in with security.
- Providing coverage in the absence of the EA, including scheduling and administrative support for the Executive Director.
- Must work all High Holy Day (“HHD”) services.
- Assisting other departments with administrative support as needed.
- Gathering information across teams to respond to calls independently.
- Exhibiting excellent interpersonal and customer service skills.
- Using good judgment to handle requests from non-members effectively.
- Possessing the ability to multi-task and prioritize effectively.
- Being punctual and organized.
- Preferred experience in customer service or concierge roles.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook), familiarity with CRMs (Salesforce preferred), and proficiency in Zoom and Microsoft Teams.
- Ability to anticipate needs and act efficiently.
- Two years of administrative experience preferred.
- Strong verbal and written communication skills.
- Ability to set and reset priorities, multi-task independently in a fast-paced, team-oriented environment.
