Job description

Administrative Assistant Position

The role involves managing various administrative tasks to support the organization effectively. Responsibilities include:

  1. Answering main phone line: replying to inquiries, transferring calls, managing voicemails, and assisting callers with event registration.
  2. Communicating basic information about Central’s offerings: services, livestreaming, special events, classes, High Holidays, etc.
  3. Assisting the Executive Assistant to the Executive Director with projects as needed.
  4. Managing the email inbox: email@censyn.org.
  5. Maintaining office supply stock and organizing office/storage space.
  6. Contacting printing vendors and ordering stationery/envelopes as needed.
  7. Managing mail: maintaining postage on the mail machine, receiving/distributing incoming mail, and posting/sending outgoing mail.
  8. Supervising the office front entrance: checking cameras, admitting approved visitors, and asking unrecognized visitors to check in with security.
  9. Providing coverage in the absence of the EA, including scheduling and administrative support for the Executive Director.
  10. Must work all High Holy Day (“HHD”) services.
  11. Assisting other departments with administrative support as needed.
  12. Gathering information across teams to respond to calls independently.
  13. Exhibiting excellent interpersonal and customer service skills.
  14. Using good judgment to handle requests from non-members effectively.
  15. Possessing the ability to multi-task and prioritize effectively.
  16. Being punctual and organized.
  17. Preferred experience in customer service or concierge roles.
  18. Proficiency in Microsoft Office applications (Word, Excel, Outlook), familiarity with CRMs (Salesforce preferred), and proficiency in Zoom and Microsoft Teams.
  19. Ability to anticipate needs and act efficiently.
  20. Two years of administrative experience preferred.
  21. Strong verbal and written communication skills.
  22. Ability to set and reset priorities, multi-task independently in a fast-paced, team-oriented environment.
