Job summary

The William George Agency for Children's Services is seeking a Regular Full-Time Administration role in Freeville, NY. You will provide general clerical support to the Residential Services Department and external agencies and clients.

Responsibilities

  • Answer all incoming calls and direct to the appropriate extension.
  • Log all necessary information in the Administrative Log.
  • Greet guests to the Administration building and ensure sign-in.
  • Take zones offine & reset the fire system during drills/alarms.
  • Order office supplies for the switchboard, lobby, Residential Department & Support Team.
  • Schedule/create notifications on the calendar for meetings.
  • Ensure Campus Visits are on the Visitor Log.
  • Scan, file, and format documents including treatment plans and court documents.
  • Follow Office Manager protocol and provide intermittent Administrative Assistant duties.
  • Perform other duties as assigned by the Office Manager.
  • Adhere to safety policies of The William George Agency and NYS OCFS.

MINIMUM QUALIFICATIONS:
  • High School Diploma or equivalent (copy required upon initial hire date)
  • Knowledge of Microsoft Word and Excel
  • Physical (required within 1 month of initial hire date)
PREFERRED:
  • A.A.S. Degree in a Related Field
REQUIREMENTS:
  • Must successfully complete all required background checks:
    • NYS Statewide Central Register of Child Abuse and Maltreatment (SCR)
    • NYS Division of Criminal Justice Services (DCJS) fingerprinting
    • Out-of-state child abuse register inquiry of any state in which the person resided within the last five years (if applicable)
    • Office of Inspector General (OIG)
  • Must successfully complete Therapeutic Crisis Intervention (TCI)
HOURS:
  • Monday through Friday, 8:00 AM - 5:00 PM
  • Must be flexible to meet the needs of the program
OBJECTIVES OF POSITION:

Provide general clerical support to the Residential Services Department and external agencies and clients.

DUTIES AND RESPONSIBILITIES:
  • Answer all incoming calls and direct to the appropriate extension;
  • Responsible for logging all necessary information in the Administrative Log;
  • Responsible for greeting all guests to the Administration building; ensuring each individual has properly signed in and notifying the appropriate party of their arrival;
  • Take zones offline & reset the fire system during drills/alarms;
  • Responsible for ordering office supplies for the switchboard, lobby, Residential Department & Support Team;
  • Responsible for scheduling and/or creating notifications on the appropriate calendar:
    • Third Parties for COMP/TPR Meetings;
  • Make sure all Residential scheduled campus visits are on the Visitor Log;
  • Scanning, filing, and formatting documents, including and not limited to, treatment plans, court documents, and a basic knowledge of travel.
  • Follow office protocol as set forth by the Office Manager;
  • Provide intermittent Administrative Assistant duties as assigned by the Office Manager;
  • Perform other duties as assigned by the Office Manager;
  • Responsible for adhering to and performing all duties in accordance with every safety standard, practice, and policy of The William George Agency. This includes, but is not limited to, a review of The William George Agency's Safety Policy and attending all required safety-related training.
  • Adhere to all rules, regulations, policies, and philosophy of The William George Agency and The New York State Department of Children and Family Services.

The William George Agency for Children's Services is located on a 650-acre campus nine miles northeast of Ithaca, in the Finger Lakes Region of New York State. It is a private not-for-profit residential treatment center licensed by the New York State Office of Children and Family Services (OCFS) that serves both male and female youth between the ages of 12 and 21, and their families, who present with significant mental health issues, behavioral difficulties, and substance abuse issues.
