Job summary

New Jersey Urology is seeking a patient scheduling coordinator for its Monroe Township and Voorhees Township offices. This full-time role supports the IR Centers operation and serves as the first point of contact for patients.

Responsibilities include greeting callers, updating demographics, managing appointments, and using EMR to align clinician availability with patient needs. English required; bilingual applicants preferred.

Qualifications

• High school diploma or equivalent required.
• Minimum 2 years of medical scheduling experience.
• English required; bilingual preferred.
• Experience in a private practice scheduling environment is a plus.

Responsibilities

• Greet callers warmly and provide courteous service.
• Serve as the first point of contact for patients at the practice.
• Handle calls with sound judgment for sensitive medical information.
• Answer calls within three to four rings.
• Accurately schedule patients by updating demographics and insurance data.
• Confirm, cancel, reschedule and update appointments as requested.
• Use EMR to match clinician availability with patient needs.
• Able to schedule appointments per clinic guidelines and specs.
• Maintain scheduling systems so patient records stay accurate.
• Communicate with physicians/staff about scheduling issues; consult manager for system problems.
• Coordinate with other medical offices, share records as requested.
• Address patient concerns efficiently and professionally.
• Apply customer service principles to keep patients calm and satisfied.
• Perform other clerical duties as assigned.

IR Centers at New Jersey Urology (NJU) is a multidisciplinary private practice endovascular lab. We are leading minimally invasive procedures across the U.S. by providing interventional radiology services in an outpatient setting.

Qualifications

Responsibilities

• Greet callers warmly & provide courteous service
• Understand the responsibility of serving as the first point of contact for patients at our practice
• Use sound judgment in handling calls, especially when dealing with highly sensitive medical information
• Answers calls within three-four rings
• When scheduling patients, be sure to add and update demographics and insurance information for patients thoroughly & accurately
• Confirm, cancel, reschedule and update patient appointments at request of patient and/or provider
• Use the EMR system to match physician/clinician availability with the patient's needs and preferences in terms of date and time
• Able to accurately schedule appointments based on clinic and practice guidelines and specifications
• Maintain and regularly update scheduling systems so patient records are accurate and complete and can be used to analyze patient/staffing needs and patterns
• Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling. Consults with the office manager about any system problems
• Effectively communicate and complete requests from other medical offices (faxing patient medical records, or other information as requested)
• Address patient concerns efficiently and effectively
• Uses customer service principles and techniques to deal with patients calmly and pleasantly
• Other clerical duties as assigned by the office manager/administrator

• Able to multitask in a pleasant, professional manner, including handling a multi-line phone system

• Proficient in the use of computers and related software such as Microsoft Office and EMR systems
