Job summary

Prism Vision Group is seeking a Surgical Scheduler for Retina Group of Washington in Fairfax, VA. This onsite role coordinates surgical procedures, liaises between patients, surgeons, and facilities, and ensures preauthorization and chart management.

The ideal candidate has 4+ years in healthcare, strong communication skills, and familiarity with ophthalmic procedures and insurance workflows. Onsite, full-time position.

Qualifications

  • High school graduate or GED; bachelor’s degree preferred.
  • 4+ years of experience in a healthcare setting.
  • Excellent English communication; bilingual skills are a plus.

Responsibilities

  • Coordinate and schedule surgical procedures and registrations.

Job description

This onsite role is located at Retina Group of Washington, Fairfax, VA location, which is part of Prism Vision Group. There will be occasional travel to other locations based upon business needs.

Compensation Range

$18-$29.76/hr (Dependent on Experience)

The Surgical Scheduler assists with the coordination and scheduling of surgical procedures and serves as liaison between physicians, clinical staff, surgical facility, and other departments to ensure smooth scheduling operations. As the primary liaison between the patient, surgeon and facility, the scheduler must have a good understanding and detailed knowledge of facility and procedure pre-op testing requirements, ophthalmic practice and insurance coverages and reliably handle all associated details relating to surgery patients.

Key Responsibilities
  • Schedule and accurately complete full scheduling and registration of patients for surgery and in office procedures.
  • Directly responsible for meeting office surgical volume metrics and goals.
  • Obtains preauthorization of surgical procedures as required by insurance companies and payers.
  • Coordinates paperwork and electronic records, including maintaining patient charts.
  • Verification of insurance information, verification of benefits and insurance referral information.
  • Verification of private patient insurance information for same day appointments or by request.
  • Organizes patient chart and collects all pertinent information for upcoming surgery.
  • Schedules pre-op visits as needed with PCP, labs etc. and notes in electronic records and scheduling systems.
  • Understands, communicates, and counsels patients regarding cataract surgery, lens implants, YAG lasers, corneal procedures and facial and eyelid surgery and procedures.
  • Orders products needed for surgery after surgeon has identified the patient plan of care.
  • Maintains patient confidentiality.
  • Consistently schedules surgery days to the mutual satisfaction of the patient, the surgeon and the facility staff.
  • Conducts professional communication and thorough follow-up to the patients to ensure they have a best-in-class experience.
  • Handles all telephone communications with patient, patient's family or primary physician regarding surgery and pre-op visits.
  • Reports any problems or unusual circumstances to the clinical manager or doctor.
  • Performs IOL calculations and orders appropriate lenses at direction of physician for surgery where applicable.
  • Understands and follows procedures for surgical and procedural consents.
  • Comply with company compliance policies and standards
Qualifications

Education: High School Graduate or General Education Degree (GED). Bachelor's degree in relevant discipline highly preferred.

Experience: 4+ years of experience in a healthcare setting required.

Knowledge/Experience/Essential Skills

Preferred knowledge of specialty healthcare testing and services, including but not limited to biometry, EKG's, OCTs, photos and visual field testing.

Excellent verbal and written communications skills in English. Bi-Lingual (English/Spanish, English/Polish, English/French, English/Arabic) a plus.

Must possess excellent, critical thinking, analytical, troubleshooting, problem resolution, and customer service skills.

Excellent mathematical and cash management skills.

Excellent interpersonal skills and ability to work effectively with physicians, co-workers, other departments and patients of all ages, and from across a broad range of cultural and social economic backgrounds.

Demonstrated accuracy, thoroughness and detail orientation.

Knowledge of medical terminology preferred.

Ability to work as an integral team member under minimal supervision in a fast-paced, complex and highly stressful environment.

Computer literate in MS Office, and the ability to use and acquire proficiency in multiple electronic systems.

Work Environment

An office environment with a controlled atmosphere. Possible exposure to staff or patients with communicable diseases and blood borne pathogens.
