Job Summary
Coordinates scheduling between members, surgeons, external providers, Kaiser Permanente and/or non-Kaiser Permanente Contracted facilities and vendors according to established surgery scheduling protocols and policies.
- Schedules surgeries utilizing established scheduling guidelines with consideration of factors such as historical procedure length and operating room availability.
- Reviews information associated with surgery case to ensure surgery is scheduled correctly and takes immediate action if further intervention required.
- Collaborates and partners proactively with surgeons and departmental chiefs to ensure that surgeries are accurately scheduled in timely and effectively manner.
- Make scheduling decisions that maximizes efficiency and utilization.
- Accurately enters data associated with surgery in timely manner in appropriate systems and other databases.
- Initiates and maintains contact with member throughout the scheduling process; conveys information concerning date of surgery and related appointments; refers medical related questions to the appropriate healthcare team or provider.
- Verifies completeness and accuracy of surgical request form, including patient demographics, procedure description, venue request, and time request.
- Prioritizes each procedure in accordance with established guidelines including severity of case, age of patient, and length of time on the waiting list.
- Confirms that members benefit plan covers intended procedure and that referral has been entered.
- Collaborates with the Ambulatory Surgery Center team leads to ensure appropriate and accurate scheduling.
- Collaborates extensively with each Kaiser Permanente Surgery Scheduler to assure maximum utilization of block time in each OR venue.
- Prepares surgery confirmation letters.
- Assures that durable medical equipment that will be needed by patient is available.
- Proactively identify issues and works with others to resolve them.
- Assists in collection of data elements for Surgical Department reporting.
- Performs other related duties as directed.

Basic Qualifications
- Minimum three (3) years of scheduling experience with one (1) year in surgery scheduling is required.
Education
- High School Diploma or General Education Development (GED) required.
License, Certification, Registration
Additional Requirements
- Demonstrated customer service skills.
- Demonstrated medical terminology knowledge required
- Knowledge of surgical procedures required.
- Proficiency in the use of applicable computer software.
Preferred Qualifications
- Surgery scheduling experience with an electronic system preferred.
- Associates degree in related medical field preferred.
