Job summary

The City of Delray Beach is seeking a dedicated Support Services Specialist to provide administrative support within the Development Services Department, Support Services Division. This role handles business tax receipts, contractor registrations, false alarm systems, and other clerical tasks in a fast-paced environment.

Under general supervision, the position requires strong typing, excellent customer service, and the ability to work independently.

Qualifications

  • High School graduation or possession of an acceptable equivalent diploma.
  • Two years of related experience involving secretarial/clerical duties including the operation of a PC, Keyboard, mouse, or similar data entry equipment.
  • Must possess superb typing skills with speed and accuracy.

Responsibilities

  • Provide exceptional customer service to both internal and external customers in person, via email, and over the phone.
  • Prepares forms, weekly and monthly reports, and correspondence using office equipment and resources; maintains computer system by entering and updating information as needed; sets up and maintain files and scans documents, including research and retrieval of records.
  • Process applications and maintain accurate records for: Business Tax Receipt requests, including updating files, generating renewal notices, and mailing renewal notices; Alarm Permit applications, including false alarm alerts and fees and issuance of late notices and associated penalties.
  • Reconcile payments received through the online payment service and prepare accurate batch payments accompanied by comprehensive and accurate accounting reports.
  • Perform related work and office tasks, as required, to further assist the Support Services Division.
  • Fosters positive employee relations and employee morale on a City-wide basis.

The Support Services Specialist provides administrative support within the Support Services Division of the Development Services Department. The position provides general staff assistance and advanced clerical support in a dynamic fast-paced work environment. The Support Services Specialist assists the Division with general Staff assistance activities, including securing details of and processing business tax receipt information, contractor registrations, false alarm systems, and other clerical and customer service tasks. Work is performed under general supervision of the Support Services Supervisor.

The following duties are normal for this position. The omission of specific statements of duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Ability to establish and maintain effective working relationships with employees and the public. Ability to operate a PC, Keyboard or Computer. Ability to communicate using speaking, hearing and visual skills. Skills in policy interpretation and application. Ability to communicate effectively in oral and written form. Ability to adapt to an evolving and continually improving environment.
